Recommended tool for PMO to get greater visibility and control
Network:142

Dear All,

Please recommend a tool for the PMO that can best provide the following:

1) Visibility across all projects in terms of how the projects are performing
2) What's the team capacity, where the team members are utilized and what's their bandwidth at an individual level
3) A view of the impact when moving resource from one project to another
4) Reasonable visual reporting capabilities in order to visualize progress of multiple projects at the same time

The proposed tool should be capable of handling operational as well as management needs. What I mean by this is, by using the same tool, the project teams should be able to manage their day to day project activities and PMO should be able to get the above desired results as well.

Please also comment what you think about MS project is this regard and which flavor of MS project can best meet these requirements.

Lastly, its about efficiently managing all the projects and utilizing the teams in the most efficient manner - with a little bit involvement in portfolio management as well. But mostly it revolves around project management and program management.

Looking forward to receive your valuable feedback. Thank you

We use HP PPM tool, MS Project and Excell. MS Project help us to cover what you stated into intems 2-3 and HP PPM help us to cover items 1-4. Is not easy, mainly to satisfy multiple views demands due to diverse stakeholders. My recomendation is not fall in the trap that things as project managers we think adds value could add value to others.

Thank you Sergio for sharing your experience. I agree with you completely, I have experience of managing a number of reporting projects for different functions and that has helped a lot in establishing this fact that every group of stakeholders has its own reporting needs. Satisfying all these reporting needs is very hard through a single tool if not impossible. I am aware of this fact, but the issue with many tools is the amount of effort and duplication of work involved. By the rule of effort vs benefit, we may compromise on some of the low priority requirements to stick with a single/common reporting tool for all our teams. That's why I have requested feedback on this forum to get some ideas from seasoned professionals like yourself.

We too are trying to develop such a tool. I'm interested to see what others have to say. We are using a version of SAP, but it seems their Project Systems module is actually quite archaic.
