That would be part of your communication management plan, Timothy. You should be able to find templates in this community as well as across the web.

I thought about that. And that's true to some degree but this would also contain agreements with the sponsor about how much time the sponsor is going to commit to meeting with me face-to-face and how we're going to handle disagreements that we have . And an understanding about your issues are going to be escalated to the sponsor. And multiple other things. So this is kind of like a communication plan but it's also kind of like a contract. The contract that defines what the responsibilities are of the spots are going to be. And this would be something that would go over with the sponsor And get a sign off from the sponsor.

Technically, the "contract" would be your project charter, between the project sponsor and the customer. Hopefully, you don't need a contract with your project sponsor.

if your organization does not have a role description for a sponsoir, I found this to be a good base to start discussions:

It outlines 3 basic responsibilities of a sponsor, I summarize it on 1 slide for him.

Your sponsor might not agree or not have the time to support you along these lines. But at least he knows then what a good sponsor would do. He might even have his own views.

If your sponsor cannot meet you once a month at least, one option is to ask him to assign an acting sponsor.

Also, when communicating with your sponsor, be sure to be empathetic, understand his language and issues. It will not be yours.

I'd first check whether your organization has any sponsor onboarding training - many large organizations do. If not, then the formality of "who does what" can be covered with a RACI as Sergio has indicated, but for the "how will we work together", I'd suggest a 1:1 meeting followed by a summary of the discussion via e-mail.

Maybe add a working agreement to the mix. Somewhat like a team charter, but more toward the sponsor. The working agreement can contain some specific terms and fundamental needs from both parties. I don't have a template perse, but it can be as simple as a wiki entry in Confluence, Teams, SharePoint, etc. Ours we keep in TFS.

I like both Kirons and Andrews answers. I will combine them. I would like for the sponsor to attend some training about the responsibilities of the sponsor has. Then I would follow that up with the one on one meeting with the sponsor. And the outcome of that meeting would be a charter. It would be like a team charter but specialized for the sponsorship project manager relationship.
