Hello,

I am in the process of filling out my PMP Application online. I want to enter my experience on my current contract. I am a project manager for a large company who just installed and major billing application.

My direction on the project is to facilitate meeting to identify and correct any defects to the system, maintain the issues log, implement any enhancements the business see necessary and audit seller invoices.

I was brought onto the project, 7 months ago, after the initiation and planning phase. The project is suppose to last until the business people feel the system is stable and satisfies most of their needs. This will probably take another year. This is the only project I work on. To date I have billed 1134 hours to this project. I figure 10% of my time was for admin, misc meetings and doughnuts.

Can I take the remaining 1020 hours and divide it between the Executing and Monitoring and Controlling processes just listing those areas I'm involved in (mentioned above)?

From what you stated it sounds like some of those items are more operational rather than a clearly defined project effort.

If that's not the case then split your hours into whatever you have worked on. I have worked a number of projects in the monitor and controlling and closing area's alone. Some of which I used on my application to PMI. There might be some stipulations though on only using completed projects rather than in process projects.

I contacted PMI directly with this question. The woman who took my question said the project is eligible for the hours toward PM experience, but when filling out the form "you must have some percentage in each process. Just enter as little as one percent in Initiating and Planning otherwise the system will not accept your application."

Per the PMP Handbook "Leading and directing project tasks as identified in the Project Management Professional Examination Specification. Within the total hours of project management experience, experience in all five process groups is required. However, on a single project, you do not need to have experience in all five process groups."

So in short the lady you talked to was incorrect and you don't need to have something in each process group. On top of that it's all hourly based and not percentage based if I remember correctly.

2 things in this post:
1) The person from PMI is likely referring to a technolgical limitation in that the online application must have some hours in every process group. So she's probably not wrong in saying that.
2) Many applicants assume that just because they are mostly in the executing and monitoring & controlling phases that they don't do the other process groups. This is not true. Remember that the PMBOK structures the process groups to be used throughout a project. So Brian, in your case you have implemented enhancements. I'll assume that you applied initation and planning processes in order to implement them. They went through a small business case, were scoped and estimated and had risks and resources applied against them. The hours spent on these activities may not be large, but absolutely qualify against these processes.

Good luck in your application and your goal for the PMP.
