How do you provide status when you have 50 small projects?

I support HR and we have a large number of small (some very small) projects. I need to figure out how to easily provide an executive view of the status of all of these, does anyone have a template or ideas they can share?

That is a lot of small projects so you can keep it simple with a stoplight type of status report. Create a PowerPoint to make it look good.

This is just a quick and dirty sample to give you an idea how to create your status report.

Like this, simple and clear probably can fit 50 in a page

Many small adjustments could be considered.
- a summary type how many un the next 30 days Red, yellow and green, next three months,.....
- sort to get the red line on top

You might want to take Drake's template and group them by some meaningful criteria, maybe status. Have all the green projects that are in great shape on the same slide and all the red projects together on another slide. If you know what the executives want to focus on you will be able to group them accordingly. Maybe they want them by department responsible or location instead. If you are going to end up with a 5 slide presentation, try to give them the ability to print out one slide to concentrate on.

Please reach out to development team they can help you to extract reports from multiple projects into a single report with the format you require which would hardly take few hours to develop. You can ask the development team to get it in Drake format.

We use an excel spreadsheet to display and group several projects. Like Drake, we have a drop-down to select status (and color) for each project. There is a short details section about the project, who is responsible for the project, expected end date, remarks to state reason for any issues and a next steps column.

Hello Dinah,

I'll be honored to received a copy of the proposed template that keep track of multiple Projects. This is something I've been working on and looking for a few months. I tried creating a spreadsheet but I did not like the formats I was using.

Your help would help me go a long way.

For my portfolio report, I use an excel spreadsheet with conditional formatting. However you will need to identify what they would like reflected.
For me, I report on milestones as per decision gate stages. Mind you, the initial report was built into MS Project and I pulled the info into excel, and now use excel for updating a monthly portfolio report.
The excel report reflects the following:
- Project title
- Resource Name
- Dept
- % complete (this is the overall percent, calculated in MS Project)
Then I have each milestone, and each milestones has two columns:
- Planned completion (this is planned completion date per milestone)
- Actual Status (this is where conditional formatting 'traffic lights' reflects status.
I set that as:
Beyond due date completion (1) - this will show red
1 wk before due completion (2) - this will show amber
100% complete (3) - this will show green

Just a note that I actually snapshot this report and put it into powerpoint as I also have other reports to compile into the final portfolio report such as budget vs actuals, etc.
Like I said, you need to identify what needs to be reflected.
