Improve reporting

I work with large busy team and I request weekly update on the project progress but they are very busy to send me the report.
How can I address and solve this issue?

Hi Fadi Odeh, Happy to share my thoughts and expertise on this area,

First thing is educating the team members on importance of reporting - once they understand its 40% job done.
We need to educate team members that reporting is very important and their efforts and billing can be done only if the management has the data from them. its always a best practice to invest min 15 mins of their work time for reporting at the end of every day.

Reporting is WIN -WIN situation for both Team members and management- we can asses their performance or figure out the over utilization of each resource and balance the workload only if the management has the data.

Technical solution:
If you and your team is not using any live software to track workload progress then Use Excel or MS access at team members ends and use share point by Management to extract and review the data. and once you integrate Excel +MS access+SharePoint you may minimize the manual efforts required for capturing this data

In my experience face to face weekly meeting is the best way to get weekly update from team members. Face to face does not have to be a physical, it can be conducted online too.

I usually have an Excel spreadsheet that bring up the last week's status meeting and run through it. Making notes as the team members takes turn reporting their status. The notes are made directly on the meeting minutes. Importantly, any agreements and decisions are also noted directly into the meeting minutes.

Why not move from asking for updates to using a Kanban board or something similar so you can get the info you need directly?

Simple: inside the project schedule you have to consider the time to create the report you need. What I saw lot of times is some project managers forget to put tasks related to project management inside the project schedule. Between other things it attempt against project management visibility.
