As PM how you get yourself organized?

It is common we write what to do list based on what was identified then you make a matrix to prioritize based on important / urgent then sequence your action plan
Get enough sleep - have your self a good morning coffee - focus on action plan - look and review if there is issue in night report or after hours report if any emergency issue then revisit your action plan and prioritize

There must be more to add to get more organized please share your thoughts

Definitely the coffee is a must. But a lot of it is just in the head, by the heart, and on the go. Naturally there are are appointments and tasks written down, but to remain fluid you need to be able to tackle things on the fly.

Sante, I agree with you somewhat because when you have a lots going on then to avoid human error by forgetting I see it is vital to write it down as check list to track it on your backlog

1. Check inbox in the AM. Treat it like a to-do list. Log actions taken in your tracking software.
2. Go through email follow up folder. Log any actions taken.
3. Go through your agile backlog template in Smartsheet and touch on each project / action item. This is your main work for the day. Try to close out actions items or make progress on projects.
4. Check inbox after lunch. Repeat steps 2-3 and you should be good.

I like to block time off in my calendar the night (or even week) before for any important tasks which I want to get done. It also helps to organize your Inbox by categorizing mail into the Important vs. Urgent vs. Neither categories...

No coffee for me. Before I leave work each night I make a list of what to do the following day. I start the day by reviewing the list, checking email for anything that will impact my list, review my calendar, and then decide what to do first. As I check things off my list I do a happy dance :).
I also created a KanBan board in SharePoint to keep track of the status of my project artifacts. As the PMO, I need to know what has been completed on every project in my department.
We are in the process of improving my little SharePoint site by creating a dashboard that will track everything about our projects.

I go to bed very early but I write points, notes and tasks before I go to bed, then in the morning combine these notes prioritise and block time for it. I found recently that prioritising is not enough, I need to block and lock time for it.

Is anyone every fully organized and prepared for the daily chaos?

I will agree with the coffee. I think I spend most of my day sipping on the stuff.

Here are my general steps:
1. You have to recognize that your job isn't always limited to an 8 hour day.
2. You have to want to be successful.
3. I am a tech guy, but I like to use paper and pencil to write things down. It helps me to plan things out in a free format way.
4. About the only thing I like Excel for - I like to add my tasks to an Excel file and organize the tasks by day using sheets. Make sure to update regularly.
5. Recognize which events add value to your day. In Agile they advocate the daily stand-up, "every day you must have the daily stand-up". This is perhaps Agile heresy, but sometimes this does not add value to your day. If the team does what it is supposed to do and communicates frequently, it can lessen the value. Maybe every two days or twice a week is more practical.
6. Learn to say no. I used to be "Yes-Man" and it has caused me a lot of problems. "Yes I can help you" as if I had all the time in the world. I try to help when I can, but sometimes "no" is the only answer you can give.

Joshua, thanks, agreed these are also good points however regarding Fully organized we have to remember No one is perfect we try to do our best by staying organized but slippage is normal too there are emergencies happen, unknown risk is always there, force majeure, road accident, death, etc all these big forces can alter your schedule that day

I put the task list on my outlook calendar, so it sends me notifications, and , helps me remember my task much better. I will also make sure to take a few hours to go over the work plans for the coming week. It will help me to remember what is due, and keep things organized.

I maintain all my to-do list along with relevant information in Onenote. I've always found it easy when all the information you need is in one place. I start with a fresh page once every 2 weeks and carry forward any in-complete tasks. Always worked for me... btw Coffee is a must.
