Below is an outline kickoff meeting agenda that I developed for a recent project.
1. Identify meeting goals, agenda, and time
2. Define the project, its purpose, and expected goals and deliverables
3. Present key components of the current plan including:
• Key success factors
• Assumptions and Risks
• Timelines
4. Discuss the communication strategy, including:
• Weekly project status meetings
• Highlight reporting
• Subproject planning sessions
• Project plan status updates
5. Outline team member’s roles
6. Open discussion of project:
• Active directory roles/database structures
• Example database entities
• Creative design/wireframes from Pentip
7. Assign action items and close
Daniel has a great list. I would add a section for the business case or business purpose of the project. I want the group to leave the meeting excited about what they are going to be doing, and full of enthusiasm. Some kind of motivational closing can be helpful, perhaps delivered by the project sponsor.
I think about meetings like this, and I figure out which topics are most important to the team to get started on the project. It is like doing stakeholder analysis:
Who will be there?
What are their needs?
How can I meet their needs?
Usually a kick-off meeting needs to answer a few key questions for everyone. Sometimes I can skip some, because the team has worked together in the past or the project is well-understood. Here are the types of questions I think about:
What are we going to do?
Why are we going to do it?
What are the rule of the road or common rules that all team members must follow?
How are we going to keep each other informed?
What do I need from them? When do I need it? How do I want them to give it to me?
What do they need from me? When do they need it? How do they want it?
Who are the key players in the project?
What can each team member contribute?
What can each team member expect from the rest of the team?
How are we going to control and authorize the work?
What are the key challenges?
How can I make sure everyone is motivated and aiming for the same goals?
I never use templates, but I might use past kick-off meetings as a template. Every team is different, and I customize the meeting to their needs. Saving Changes...
