I'm starting up a very large and potentially very long project. Many of the resources on my core team are new to project management methodology. We've had tons of role clarification meetings, but I'd like to come up with a crisp document that clearly spells out team expectations (i.e I need to be aware of all communication going out about the project, I need issues and risks escalated to me as soon as you know about them, as soon as you know you're going to miss a deadline, I need to know). Anyone have anything they'd be willing to share? Thanks!

You should use a RAM and RACI matrix. This both descriptive and graphic which should help many of your team members new to PM.

I've provide a link and a gantthead template link.

Also, I forgot to mention the Project Charter which is a great tool to use with your sponsor and team to set and manage expectations.

Here is an example and there is are many others on this site.

Naomi - Thanks for sharing your suggestions. I've already got most of what you have in place. Where people are struggling isn't so much around what they need to do in terms of tasks, but more around how to be part of a team. I'm looking for something that speaks to the soft skills around communication, etc. Does this make sense?

Suzanne:
This makes sense; come on over to the Leadership GIG. We have lots of great discussions, current information on project management leadership soft skills and motivating teams to work together towards high performance. Also, join the Meeting and Faciliation GIG(name??) since there is also some good ideas there also.

I dunno if it will be helpful, but I think you can also use a merger between OBS and WBS.

Suzanne,

I think a project communications plan should fulfil you needs. You can include:

Stakeholder maps
Communication needs / methods / frequency
Documentation / formats
Issue / risk resolution and escalation
Reporting strategy / guidelines
Behaviours / sensitivities
Feedback mechanisms

Basically anything you care to document regarding the soft skills can be included.

I’ve included two links to get you started, but if you type ‘project communications plan’ into your favourite search engine, it should return numerous examples of what I’ve just described.

Communications Plan - Gantthead

Communications Plan - Clarity Consulting

Darren
