How to process with the additional works/non contractual activities

Dear all,

During execution phase, we asked our contractor to use an item/activity that is not included in the contractual BOQ, and use extra quantities 50% more than agreed BOQ quantities.

What is the best way to accept the contractor payment when submitting his inspection requests?

Perhaps I did not understand your question, but if I would the contractor I will say you: we need to follow our defined and agreed change management process.

I agree with Sergio. This is clearly a change that should be properly identified, assesses and budgeted.

First of all what type of contract it is? is changes allowed easily? if yes you could have let customer know the cost of change(any constraint e.g. money, time, quality, no impact) and get approved. If fails to get approval then what is written in contract that should be delivered.

Change management all the way. The contractor has to evaluate the change you are requesting as mentioned by Dave and based on this (it will all equate to $$$) you need to submit an official change request which they will process and invoice you for.

Thank for feedback!. You mean contractor should submit his change request with the justification and client will approve it.

So only the way to process is to issure the variation order.

Your question is a little bit unclear for me. however, it seems that you had a change and should have followed the agreed change process.
