Handling change requests & Stakeholder concerns

Hi, i am preparing for my PMP exam and want to build an understanding on when to say no to a Stakeholder change request, when to discuss his concern with team and when with senior management and when to inform all stakeholder about this- before doing change or after approval from CCB?
its more like understanding the first thing to do in case of any change requests or concern comes in from Stakeholders. please advise.

if we set the basics, the first thing to do after receiving a change request is to ensure that it is recorded or it is submitted following proper procedures/ forms ,according to established change request process of Organisation/ Projects.
Second is to see if it is completed with all its required details and supporting document. then comes the part of analyzing it, where PM or whole Project Team/ concerned stakeholder analyze the impact of that change on Project. Once Analyzed that change with all its details/impacts can be submitted to CCB for either approval or rejection.

Thanks Asif for your responses. i also have the same understanding , but have got a few practice exam questions wrong on this lately. especially like forwarding the change request to CCB without team reviewing that.

Neha, you have to take care about the exam questions you take to practice. There are lot of exam questions outside there but some of them can be uncorrect. The key process to work with change is Perform Integrated Change Control (4.6). Adding to add there are some things generally called "PMism" that you have to take into account. What you say about to create a change is one of that.

Neha, you do not need to know that for the PMP exam. For the PMP exam the only thing you need to know is where and when changes are process. PMP exam are situational question.

Hi,
Change Request(CR) is very important for PMP. Anything which affected the baseline after approve plan is called CR. In real world there are many tools are available to raise the CR. Such as Incident Management, Service Now etc. Main purpose of CR is overwhelming the change procedure. We have both positive & negative CR in real world. Often the Approve CR is called Positive CR & Rejected CR is called the Negative CR. Both we need to document in Change Log for future analysis.
As stakeholder point of view CR is very important. Straightly people who are affected by the project is called the stakeholder. If you see the PI Matrix of stakeholder you can easily communicate the CR communication to them after analyze there power & interest both.
If any CR arrive team level discussion happen first for impact analysis the based on the impact & after considering project baseline (Scope, Schedule & Cost) if it's positive then CCB approval needed to incorporate the CR.
Negative/Rejected CR only need to update the Change Log for reason of declined.

Just to comment in reference of PMP exam. Remember that you have to answer what PMI expect as an answer in the framework of PMBOK, not what you do in your work life.

Thanks Sergio. while taking the practice exam from different sources, the confusion lies with the options provided. i understand every change request is to be analysed for its impact,but for change request coming in the closure stage of project has to be raised to senior management and not to be analysed by team.(that is the correct answer in practice exam).also can we refuse any time to a change request by stakeholder as per PMBOK?

You are welcome. If you are talking about the options you can pick as an answer let me say that, in the real PMP exam. options are there to confuse as much as possible to people. You can not perform project closure if a change request, a risk or an issue is still active. For all of them, the defined process must be followed always. If somebody is giving you any other answer that will be an incorrect answer for the exam. Just I commented is a matter to answer what PMI expect as an answer in the framework of PMBOK. If in the real life people make things diferent then is other history.

Well, it has to do with the situation. I agree with Sergio. You do not need to know these things for the PMP. You only need to be able to analyze the situation and choose the right choice.
