How do we manage the audiences and the bidders in a tender presentation session?

I'm not technically inclined and this is like my 1st project.
How can we manage my team and the bidders in the bidders' presentation session? And what is a good way to manage such environment?

I worry that I could not control my team in scenarios when my team members have differences in thoughts and views and start having discussion and arguments infront of the bidders whom presenting or the bidders starts having discussion or arguments and I could not control... Please advise usually how do u all manage the entire tender presentation session? Or share with me some tips? Or usually how u do?

We have several approaches. Industry engagement days, bidder's conferences, etc. Typically, only one or two people representing the "company" (the presenters) speak to the bidders so as to avoid conflicting information. Others from the "company" can attend, but only speak if called upon by the one of the presenters. Questions are only permitted after the presentation has been completed, and again are only answered by the presenters. If a question cannot be answered adequately, it will be followed-up with the summary from the meeting. All questions and answers are distributed to those in attendance, and possibly to the web is required.

Not all members of the team must attend the bidders conference, you must ask your team for the requirements of the contract to build a RFP, IFB or RFQ. Then, you or other members of the team can represent your company in the presentation. A special time are segregated to questions, that are made in order, and you have to write an act of the meeting, to document all que aspects and responses that were treated.

Key is perform an stakeholder analysis first. Remember this: you need to "convince" your audience that they will be more rich with the solution than without it, where rich do not meant money only.

Apologies...I think my question had misled all... My question is on the day when the bidder present their proposal to us, how do I as a project manager manage the scene professionally so that there won't be situation of bidder and my team arguing over 1 point and can't get things out of a meeting..??
