Lets say you have 3 bidders... Do we just send them calendar invites to them for tender presentation or we check their availability 1st through email then send calendar invites?

Let's say you have 3 bidders.. We need to invite them for tender presentation...can we just send them calendar invite or send emails to check their availability 1st?...
Fyi, we have alrdy state in the tender briefing that tender presentations were A, B, C dates...

Do you have any issue to go with A, B, C dates, it will be better to schedule the presentation in the documented plan dates. However, if you are looking for new dates to schedule the presentation send the invitation in advance and ensure have their acknowledge of receiving your new invention.

If the tender dates were already stated in the tender document,then what you need to do is send the bidders email invites for their respective dates and time as stated in the document.Sending them a calendar invite is also fine

Email is an artifact of active communication:
Ensures that information is distributed but not really arrived or have been understood by the target audience.
There are other ways (besides email) to communicate.
As there are only 3 bidders..you can opt for interactive communication artifacts

It is hard to make everybody happy. In my case we put presentations days in advance just enough all people involved have the enough time to prepare and to lock the days.

Send calendar invitation as they have been made awareness during tender briefing.

First we should send calendar invitation and later should check their availability on particular dates...

Agree with Sergio. Set the dates and communicate the same to everybody well in advance. If they want to be part of the project they will make sure that plan around it. If there is an exception then you handle it on a case by case basis but then the exception needs to be exceptional :)

It is very uncommon to ask vendors for suitable dates during the tender process since it could be seen as favoritism in some case. The publisher of the RFP/RFQ drives all aspects of the tender process.
