Project Governances tools

Dear All,

our team responsibility is to govern the project and ensure its alignment with the overall strategy and must be completed on time and within the budget. We are not directly involved in managing the project. we are reporting the progress to the higher management.

is there any specific tools and technique which someone can recommend to use?

If the need is to simply report project status, I have a couple of recommendations.

Determine what information is required, i.e., ensure the project team is capturing the appropriate data so to have the ability to showcase to leadership.
Determine frequency
Determine how leadership wants to see the data, i.e., visual representation.
Determine what their expectations are

From there find out what capabilities currently exist in the organization to produce the output (there will be tie in here on the tool the Project Manager is using, i.e., MS Project)

See what potential integrations there are, i.e., real-time data vs manual update/entry

Determine if need for bringing in additional/new capabilities for reporting or capturing project data

tl;dr - Many project management systems have reporting capabilities. Determine what is needed and if the current tools can satisfy the need. Otherwise, shop around based on the need/gap.

To add to Andrew's feedback, I'd suggest making this a pull (from the existing PMIS's the project team is already populating) vs. requiring the project teams to do a push to your team.

That is more likely to get you accurate and current data.

And, if you need to augment the information which the team's are currently collecting, make sure you explain why that information is being requested and how it will be used.

we develop our own table which we update it manually. I feel this table or template can be further enhanced to give the required information to the management.

Yes, definitely, that is certainly preferable. Be a downstream recipient of the data and sculpt (aggregrate, visualize, etc.) it to showcase the KPI leadership has expressed interest in seeing.

I'd suggest moving away from manual updates and let your governance reporting be done based on automated data pulls as much as possible. For example, if teams are using tools such as Jira, queries could be run consolidating information from multiple projects. This is vastly simplified if your company has already implemented an enterprise project management tool but even with multiple standalone tools it is worth investing effort to create a capability to populate a PM data repository of some type which could be consumed by multiple stakeholders (e.g. finance, governance).

If all you are doing is providing status and not managing projects, here is what I would provide:

Cost and schedule EVM metrics - What is the current state and the variance from the plan

Is the situation getting better or worse?

What is the source of the variance? - Why are the actuals different than the plan?

Are there any recommendations to close the gap?

Since you're just reporting, you want the information to enable or preferably invoke some action that you're not able to do from your own position. If you can recommend the best course of action, all the better.
