Documentation and organising 5 project

Hello everyone. I'm working in new position as a project coordinator. There are 5 project in water&waste treatment field that all started long time ago.now documentation is messy, tracking is not clear.
please help me to organise them.projects are 'pc' and 'Epc.
Especially, are there any documentation benchmark/template?

Dear Saeed,

In my opinion, and to Organize your process, you have to first establish the following essential documentation for each Project:

Project Initiation- Any document which details why this project was undertaken and authorized means business case/ charter. such document may contains the initial funds details , milestone dates e.t.c

Project Planning- You should collect at least have project management plans schedules , Project detailed scope , contract & sub-contract.

Project Execution & Control- Weekly, Monthly or Annual Progress Report contains most of execution details.Inspection & test reports, Risk & Issue Register, Correspondence from all stakeholder, Minutes of Meetings.

project Closing- Handover details, As built Drawings , Snag list.

Once you try to gather all these documents/ information for each project,i believe most of things will be clear for you and then you establish the database for each project separately. Hope this will help you to organize.

Take a look to PMI“s COnfiguration Management Standard (link below).
It is "light". I prefer the IEEE standar. But I think it could help you.
