Hi. I am trying to finalize my application and need some expert review regarding PMP Experience descriptions. I know that PMI does not look for specific wording related with industry we work in, but PMBOK definitions.

Could you please check my wording, it feels like general terminology may not reflect experience accurately:

1. Project Manager: March'19-Oct'19

IN:100, PL:190, EX:230, MC:210, CL:40

Objective: To develop and implement a computer based fleet dispatch system (FDS) for departments' usage to ensure efficient machinery utilization time.

Outcome: Successful implementation of FDS.

Responsibilities/Deliverables:
IN: Developed project charter, obtained sponsor and registered stakeholders.
PL: Established project documents, created WBS, sequenced activities with PDM, assigned team members to tasks.
EX: Coordinated team member's execution of task.
MC: Controlled scope and schedule.
CL: Wrote project final report

2. Project Leader: Apr'17-Oct'19

N:305, PL:540, EX:730, MC:635, CL:140

Objective: To create a tender specification document for production equipment and follow-up manufacturing

Outcome: Specification document released, equipment manufactured and installed at job site.

Responsibilities/Deliverables:
IN: Documented project charter and registered stakeholders.
PL: Facilitated requirements workshops, developed schedule, quality management and communication plan.
EX: Managed communication, stakeholder engagement, change requests.
MC: Monitored and controlled work, schedule and quality.
CL: Project documents updated.

3. Project Leader: Nov'14-Nov'15

N:210, PL:420, EX:560, MC:455, CL:105

Objective: To research the applicability of rapid excavator equipment at job site

Outcome: Proved feasible application is possible and implemented equipment at job site.

Responsibilities/Deliverables:
IN: Defined scope, identified stakeholders and obtained sponsor.
PL: Developed schedule, collected requirements and created WBS.
EX: Tasks executed based on project management plan, Implemented approved changes.
MC: Validated scope and controlled resources.
CL: Formalized documents and updated OPAs.

I will appreciate any feedback!

Thanks.

If you want an honest opinion, I find the elaboration on the activities carried per phase is weak and very general. I can give you some direction but it will be tough to mention everything:

For example:

- You don’t register stakeholders, you identify key stakeholders and create a preliminary stakeholder register.

- Validated Scope and Controlled resources is very general. I suggest you be more specific.

- I don’t see any mention for Risk Management Tasks which is very important.

- In closing phase, part of writing the final report is ensuring you gather all lessons learned.

Those are just a few comments - Hope this helps. Good Luck !

Hi Rami. Thanks for your honest reply, really appreciated.

- That was what I meant! It seemed very general and I was seeking some advise to make it more specific by using key wording aligned with PMBOK.

- I am amending descriptions considering your comments. So, if I understood it correctly, instead of saying general terminology like "wrote final report", using "collated lessons learned", "archived project documents" etc. will be better?

- I will definitely re-word and include Risk Management Tasks.

- Instead of using general wording like "validating scope", using "manage changes to the project scope" will be better.

One format question: In order to comply with word count limit can we use "&" instead of "and"?

Thanks! Will appreciate any additional comments.

You're welcome.

That is correct, in the fashion you mentioned above. For Risk Management for example you should specify activities like Identified risks, maintained risk register, and so on.

As for using & instead of and, I do not see why you can't but remember that "&" might count as a word if they are using word count. It will make a difference if it is letter count.

"& counts as a letter instead of a word.

I amended and tried to be more specific:

1.

Objective: To develop a computer based fleet dispatch system (FDS) to ensure efficient machinery utilization time

Outcome: Successful implementation of FDS.

Role: Project Leader

Responsibilities/Deliverables:
IN: Developed project charter, obtained sponsor & created preliminary stakeholder register
PL: Created WBS, sequenced activities with PDM, assigned team members to tasks
EX: Executed the tasks as defined in the project plan
MC: Managed changes to the project scope, schedule & updated the risk register
CL: Transfer the ownership of deliverables

2.

Objective: Create a tender specification document for production equipment and follow-up manufacturing

Outcome: Specification document released, equipment manufactured and installed at job site.

Role: Project Leader

Responsibilities/Deliverables:
IN: Developed project charter, obtained stakeholder approval.
PL: Facilitated requirements workshops, developed schedule, quality management and communication plan.
EX: Managed stakeholder engagement and change requests.
MC: Assessed corrective actions on the issue register.
CL: Archived project documents.

I still find it on the weak side:

- Obtained Sponsor ?
- Transfer Ownership of Deliverable ?
- Archived Project Documents ?
- You don't obtain stakeholders approval for the charter and normally the sponsor is the one who issues it. They might collaborate with the PM but in many cases the PM is not yet assigned at that stage.
- Facilitating requirements workshop .... This is a Business Analyst task.

Those are my 2 cents. I suggest you try and look online for PMP Application Guidance.

The choice of words and activities will make a difference if you get audited which is random so there is a chance you might get audited.

Good Luck !

Hi again Rami. Those wording actually from Application Window definitions.

Thanks for your valuable replies Sante. I'd like to write real-world stories as well, trying to blend PMI terminology with real-world stories in 550 characters!

Follow the wording in the Exam Content Outline document because my first PMP application was actually rejected until someone at PMI told me to use the same terminology as in that document. When I did, I passed the application.

They also like to hear real-world stories and very concise project descriptions, yet covering many of the topics and specific words in the Exam Content Outline document.

It was a challenge for me also to write it all down in 550 characters. I just played around with the sentences and made sure as many of the terminology as possible in the exam content outline was included. That did the trick.
