Dear Gents,
Greeting of the day! Hope you are doing well.
How can we close a contract at the end of the service in closing process group? Is it a formal closing by a meeting or paper signed? i didn't face that before? Any shared experience from your side ?
Thanks in advance
Hamid

Dae AbdelGhoum, It really depends on the type of contract and services delivered through the contract. Organisations usually have checklists in place for consultants leaving. As part of checklist, physical assets, knowledge transition documents, IDs and any other relevant information is signed of by outgoing team as well as incoming team. I have used some templates in couple of projects. But I am sure PMI will have exit checklist templates in PMI.org.

Dear kumar,
Thanks for your feedback, I will check in PMI website, however I have managed more than 100 international contracts but never close out with suppliers directly, this is good to know if this is necessary to be done
best regards

It really depends on the nature of the contract and procurement policies. In general, formal written confirmation of closure and acknowledgement in writing back from the other party is desired to avoid issues, but whether this is done face-to-face or via remote correspondence is driven by the situation.

A small straightforward contract might not require a face-to-face closure, but a more complex one where there were a number of changes or claims over the life of the contract might benefit from that higher level of contact.

Dear Kiron,
Yes indeed depending on the contract complexity and of course I agree with you, for my case probably something was done also by contract departement on our behalf which I was not aware.
Thanks for your great feedback
All the best

Yes, as mentioned by Kiron and Dae, it should be followed based on the content of the contract. This literally means we should make sure that all clauses were reviewed and all responsibilities were completed.

Dear Abdelhamid, Me too...I have probably executed more than 200 + projects over the last 22 years in regulatory, Energy, Utilities, Retail Financial Services and Mission critical SCADA systems. In all except 2 instances, I had closed the projects using mechanisms as suggested by others in this forum. Only 2 regulatory and mission critical projects had resource background checks, service credit in case project failure and exit clauses detailed. The checklists were there for every stage and the learnings we had from those two projects were exceptional. Me and 89 other SMEs were involved in those two projects. We finished the project by missing four medium category issues for which I have been given a warning by the Customer Management team to complete them during steady-state within 3 weeks. The duration of the project was for 18 months.

It's rare that it isn't formal, meaning in written form.

I would expect that the contract documents and/or project charter have a procedure in place to close a specific service once it has been delivered.

There are two close on the project. One of them is the administrative close. Including administrative close as a exit criteria for cosidering a project is close of not is up to your organization project management governance method.

Dear Sergio,
thanks for the input, you are right probably there is a formal way done by contract departement which basically done without informing the CAM of the contract, an administrative close out when the work is done
Thanks

Dear Abdelhamid
What are the reasons that may lead to the termination of a contract?
In either case I prefer to have a document signed by all parties involved.

Don't go the devil weave them :-)

Thanks
Hamid
