Dear Gents,
Greeting of the day! Hope you are doing well.
How can we close a contract at the end of the service in closing process group? Is it a formal closing by a meeting or paper signed? i didn't face that before? Any shared experience from your side ?
Thanks in advance
Hamid

Contract closure should be planned for and agreed upon before starting contract delivery during the project. It moved from being a separate process in PMBoK to a tool & technique within the administer contract process. I recommend to do it formally. It might be followed by handing over some leftovers like claims or payments to operations.

Only then the close project process can start.

Dear Thomas,
You are completely right, thanks for the recommandations.
For my next contracts I will make sure that this close out will be done formally, this is the best practice
Once again thanks for your recommadations
Thanks & best regards

Hi Abdelhamid, I concur with my peers, closure details, for the final project closure and project phase/s should have been agreed and documented prior within the plan, all contracts must be formally closed out before final project closure, thus ensuring final contract documentation and customer acceptance has been received.

It's rare that it isn't formal, meaning in written form.
Dear Sante,
As I know when the contract reach the end without any notification means it is ended, of course after acceptance of all delivrebales
thanks

I would expect that the contract documents and/or project charter have a procedure in place to close a specific service once it has been delivered.
Dear Alfred,
in EPC contract I have never seen a project charter, probably have another name which I am trying to discover
Thanks & best regards

Dear Abdelhamid
What are the reasons that may lead to the termination of a contract?
In either case I prefer to have a document signed by all parties involved.

Don't go the devil weave them :-)
Dear Luis,
yes you are right hahaahaha
for instance, you have a contract with supplier which he delivered 100% of requested products as requested exactly, is this contract need to be close out in a formal way?
Thanks

There are two close on the project. One of them is the administrative close. Including administrative close as a exit criteria for cosidering a project is close of not is up to your organization project management governance method.
Dear Sergio,
thanks for the input, you are right probably there is a formal way done by contract departement which basically done without informing the CAM of the contract, an administrative close out when the work is done
Thanks
