Responsibility of the project progress reporting

Recently, Vincent Guerard asked a great question about Regular project report importance.

In the light of this question, an important point came to my mind.

Should the regular project reports to the organizations being generated by the PM or through another person within the project management team of the project for more transparency? Like Audit, Project Analyst...etc

Just like the frequency, who gives the routine status reports is highly dependent on the project, and the current state. Ultimately it comes down to: What is the purpose of our reporting? Routine status? Special attention required? Then: Who is best equipped to lead the discussion?

If it is to state that all is well and no help is required, I might report it myself as part of my routine cadence, or I might delegate the report to others so that they can get visibility that will help their career. If the project is in trouble and I need immediate help from the leadership team, I will probably report myself so that the message is not lost in translation. If the subject is of a highly technical nature, I may stress the importance myself, and hand-off the discussion to the technical expert on the issue of primary interest.

In highly effective teams, anyone on the team could give a routine status report. This is very handy if you have a life outside of work and people get sick or take vacations. If there is an urgent matter, it may even be necessary to delegate the routine reporting so that the PM can focus on the crisis de jour.

Usually, on large projects, we have project reporting engineers who prepare the report by collecting relevant information from the team and then submit to PM for review and further issuing to the client or internally to senior management.

In my opinion the PM could delegate someones, but the PM is still accountable for the content.

Like Mujahid mention in a large project, it becomes the work of an individual or group to prepare the report. I have seen one person's main activity to be the monthly project report. Getting information from all key people in the project to produce the report for the client and internally.

You are right. PM is responsible on publishing the report and in the same time for some specific scale of projects, another person under the PM have to collect, analyse and create the reports.

You are right. PM is responsible on publishing the report and in the same time for some specific scale of projects, another person under the PM have to collect, analyse and create the reports.
