From your experience, can you list down the typical project management deliverables that you will state in your RFP for vendors? In this case, just assumed vendor is leading the project management in a given project. Thank you.

In my case, I put those that are critical in our project governance process where some SOX controls are based on deliverables. In my actual work place we do not have more than 4 that could vary depending on what we call the project tier. Beyond my actual work place I did the same from long time ago no matter the approach/life cycle I used to run the project. My last comment, pay attention if the deliverable has a standard format to be fullfiled too.

Dear Edna
Interesting your question

Thanks for sharing

An RFP is by definition:
"Request for detailed proposal for a particular job where diverse information is requested such as work methodologies, solutions, managers, manager experience, team and organization"

To be able to prepare this document you need to consult all the inputs to the procurement management plan ie:
1. Project Charter
2. Business Documents
- Business Case
- Benefit Management Plan
3. Project management plan
- Scope Management Plan
- Quality Management Plan
- Resource Management Plan
- Scope Baseline
4. Project Documents
- Mark List
- Project Team Assignments
- Requirements Documentation
- Requirements Traceability Matrix
- Resource Requirements
- Risk Register
- Stakeholder Register
5. Environmental Factors of the Company
6. Organizational Process Assets

I will answer beyond the actual process I follow and I am the creator due to it is one of my duties. We face this type of scenarios where I understood you (the customer) are buying something to somebody (the vendor) and the vendor will perform the project management to give you the solution. If you ask me, the question is for your provider. Ask them, as an item inside the RFP, a detailled list of project deliverables and the reason because it is included. The key thing for you is avoid the risk then requestion to the provider the list is an "acid test" to know if your provider is ready to run the project for you. If between deliverables the provider include the project schedule and inside the project schedule no activities related to project management as shown then "Houston, you have a problem". I am writting all this with the assumption that you or somebody into your organization has enought knowledge about project management. If not, then the situation is totally different.

If you want to a have proposals where a vendor would be responsible for the project result, you would expect they also have a good project management system in place. Putting detailed PM deliverables in the RFP might then be counterproductive and add efforts on their side they did not calculate. Also, why would you want to see details about how they are working?
If you are even looking to a lump sum contract, they would be reluctant to share their actual cost and be open with risks. A balance is needed.

What I have found important is to retain the right to do onsite reviews/audits.

You should setup a contract governance, like weekly PM status meetings and monthly contract owner meetings, also as escalation and change board.

You should agree on some ongoing metrics to track the interface between you and them and the related documents. For example
Milestone list
Risk register
Change register and change request template
Deliverables list/status (as example for configuration management)
Earned value status (if they agreed to share their plan and cost)
Issue list (as a result of status meetings)

Project management deliverable required in a RFP are dependant on the nature and scope of the project, and need to be carefully considered. This guideline may assist:
https://www.workamajig.com/blog/project-deliverables-guide
These could include, CRM installation, configuration and training etc.

Some of the deliverables that I would require in my RFP would be:
Business Case
Statement Of Work
Project Charter
Project Scope Statement
Project Management Plan
Work Breakdown Structure
Project Governance Plan
Project Schedule
Project RAID Log
Project Status and Performance Reports
Project Budget Tracker
Leassons Learned Review
Project Closure Document

There is another article by Paul Burek about closing the gap between your RFP and vendor proposals that you may find useful:

Perhaps you may consider altering what you traditionally know as a RFP to a RFS as highlighted by Jon Tonti in his article:

My answer will be short and sweet: There are no typical deliverables in RFPs. Every project is unique and different, and the deliverables are decided upon based on the client / organization / project needs.

Our fellow colleagues though mentioned some solid deliverables which are very common.
