Got Project Management Manual?

I am tasked with creating a PMO to better standardize, organize, and streamline our project management program. I have been successful in conducting internal stakeholder interviews and producing a credible PMO Charter now signed off and distributed by the CEO. I am now moving on to creating a Project Procedural Manual as a deliverable for the Charter. This will define the project management methodologies, templates, and guides for PMs (and other affected entities) within our company.

Is there a doc template or similar guide or examples aligned with PMBOK that would assist me in creating such a beast? I could create one from scratch, but would not like to have to reinvent the wheel from the ground up.

Any assistance would be appreciated.

Thanks!

Randall:
Wonderful news.

I've posted on this many times; you can search on some of my posts for this information.

Certainly, don't reinvent the wheel but make sure you understand your culture, governance and get buyin/input from your stakeholders on development of the guide.

Good luck.

Hi Naomi,

I was wondering if there is a link to the Sample manual you were referring to in response Randal Carlton's request. I am in the process of developing the same document. Your help will be very much appreciated.

Thanks.

Christian.

Hi:
Many folks are asking me for a PMO Procedure Manual. My first question to you is have you done research to find examples that fit your organization? I mentioned that there are posts that you can search here on this site to find many my posts with this information. You want to work with your sponsors, PMO manager and PMs to define what is required short term and long term. You can search on this site for many examples and on the web for many public examples. You may also reach out to other PMOs in your organization to find out of there are examples that already exist.~N.

Hi there. I developed an internal Project Management Methodology (PMM) Guide for my federal govt department. I aligned it to the PMBOK and our Federal govt I.T framework 4 stage waterfall methodology. Its about 50 pages in size. Was NOT an easy task to do by one person. I also created a WBS project schedule in MS-Project format containing about 400 WBS activities and aligned it to the PMM guide. The WBS project schedule saves a lots of time for the project teams...Leo

Leo,
Leo,

Hi there. I am responding to your internal Project Management Methodology (PMM) Guide you created for my federal govt department.

I am working for the city and we are also if you would be willing to share? We are reorganizing our department in a more PMO structure and this setup would prove to a valuable asset.

[email protected] or [email protected]
or if possible to send to both emails in case one does not go through.

Thank you so much

Thank you all so far for your input. This is a large task to complete for a ground up project. I, too, am looking for existing examples for ideas on content, formatting, etc.

Leo, I would also love a copy of your PMM guide if you are willing to further share. I started up the Project Office for the University of Calgary and documents like this could help us mature our environment. Thanks in advance. Janet Cameron

Thank you, Leo, that is very nice of you to share. You just can't find much on this exactly (examples) on the web. Looks like a niche market perhaps for someone?

Again, thanks!!

Hi Randall, great post and replies. When you get a chance, have a look at the gantthead PMO Management Package. It provides exactly what you are looking for. The gantthead PMO Management Package is a completely customizable framework of "PMO Content Assets" (see the gantthead blog - PMO Setup Tips, Tools, and Techniques) that of course are centered around the project management methodology of the PMO. A bit more useful and usable than a project management methodology manual, the gantthead PMO Management Package is an HTML-based framework that provides:

  • A completely rebrandable and rightsizable framework for the PMO - your PMO

  • Project processes (PMBOK/SDLC) that are scalable to project type and size

  • PMO processes such as governance and portfolio management and review

  • Step by step process guidance and instructions

  • Templates (PMBOK/SDLC) that are extremely well designed and formatted

  • Polices for such things as teamsites, documents, status reporting, PMO dashboarding, roles and responsibilities

  • Dashboards that provide summary, gantt, cost, and risk views of the PMO projects for the leadership team

  • Learning resources including 35 hours of PMP prep multi-media training

  • Features for integration to PPM tools and collaborations platforms like Microsoft Project Server and SharePoint (or equivalents)

  • Documentation for the framework including an Installation Guide and an Administrator Guide

The gantthead PMO Management Package is set up on your own network infrastructure such as a web server (IIS/Apache) or even a network fileshare. It installs in minutes and can be fully rebranded for your PMO in a day. Find out what hundreds of PMOs have discovered, there is no cheaper, better, or faster way to set up an effective PMO methodology to ensure success in the management of projects and in the management of the PMO. You can Request a Demo at gantthead for a private showing and consultation. Good luck..!

Just a few more comments here:

1) I developed my organizational Project Managment Methodology (PMM) guide using the "waterfall methodology". Reasons are 2-fold:
a) Its the easiest methodology to implement (if you dont have a current I.T methodology)
b) Easiest to understand. (Simple: Once 1 stage is completed, the next stage begins)

As per feedback from Bob Sardo:
"The 4-stage is probably easier for new Project Managers to absorb and understand. I think also that Project Sponsors and key stakeholders may embrace the four steps more rapidly".

2) Methodology stages are - Initiation, Planning, Execution and Closeout ( basically same as PMBOK) and matches the Canadain Govt Treasury Board Enhanced Management Framework (EMF).

3) I found it best to develop the methodology in-house versus buying an off-the-shelf methodology. e.g: As your organization matures in Project Management, so does your methodology.

4) Once you develop your PMM and aligned Project Schedule, both are very SIMPLE to maintain.

5) The matching generic project schedule template in MS-Project template format I developed (400+ WBS entries) was aligned to the PMM guide. The template is generic in nature and is primarly to be used for I.T application development . The WBS activities can be added/removed as per requirements of the project. Project teams were initially surprised at the number of WBS activities required for a project.
