Project plan auto red color highlighted task

Hi team,

I have facing issues while reframing a project plan created by other person. while doing it, I found some of automatic red lines or red highlighted tasks in Gannt chart. please let me know what is this and how the rule set for it, how i can avoid it, why it is highligting even though the task completion date is on due.

Thanks in advance, help me to complete it at the earliest.

What version of MS Project are you using? Assuming 2003 then the text is formatted in the font. the bars are formatted by right clicking on the bar and changing the format. You can set default formats in the following

1.On the View menu, click Gantt Chart.
2.On the Format menu, click Bar Styles.
3.In the table, click the type of Gantt bar (such as Task or Progress) that you want to format and change the colour etc.
Changes to here will be automatically added to the Gantt bars.

Hi Saravana,

Are those highlighted tasks Critical tasks? If they are, have you thought about using the Gantt Chart Wizard (Format > Gantt Chart Wizard) to change the Bar Styles?

There is an option in the Gantt Chart Wizard to display critical tasks, generally those tasks that have 0d Total Slack, as Red bars on the Gantt Chart and non-critical tasks as Blue bars. From your post it sounds like this formatting has already been applied.

If you use the Gantt Chart Wizard and check the ‘Standard’ option, once you have completed the formatting all the task bars in the Gantt Chart should be Blue once more.

If it's the formatting of the Table cells you are actually having problems with, then let me know as this could be for a number of reasons.

It could be a simple solution such as changing the colour of the Font or Cell Background, or end up being a more complex solution such as clearing out VBA and/or formulas for Customised Fields.

I wouldn't know for certain until I get more information from you, but hopefully the Gantt Chart Wizard will solve your particular problem.

Hi Darren & Peter,

Thanks for your informations and posting, I have enclosed a picture file for your reference, eventhough the time exist to complete the task, am getting red color highlighted notification in my tasks.

Some what automaticallay set / created in formula. please let me know how i can change this task backgrounds automatically. since i found arond 234 task are highlighted like this. also wondering whether i did any mistake during project plan refinment.

It looks to me like a Text Style has been applied.

Try the following to see if it works, but remember to save a copy your project file first!!

1. Click on top-left hand corner of you Entry Table to highlight the entire project.
2. Open the Text Styles dialog box (Format > Text Styles)
3. Select the 'All' option from the Item to Change drop-down menu
4. Select the 'Automatic' option from the Color drop-down menu
5. Select the 'Automatic' option from the Background Color drop-down menu
6. Click OK

Text Styles can be applied to highlight Critical Tasks, Milestones, Summary Tasks, in fact there's not much it can't be used for.

By selecting the All option from the Item to Change drop-down menu, it should remove all Text Styles that have been applied which is why I recommend saving a copy of your file first.

If this still doesn't solve your problem then post again and we'll see if we can try something else.

Thanks for your immediate reply and guidance.

Yes, the formatting happened and can able to remove those highlighted lines, in case if i want to see the critical path that affecting my delivery schedule, how i can verify it. How I can reverse it to go back highlight the task.

It will help me to reduce the durations and resource allocations etc, easily.

Hope there is a rule / formula set in project plan. how i can view it.

As mentioned previously, critical tasks are generally those tasks that have 0d Total Slack. You can change this criteria should you want to, and show near-critical tasks as critical by adjusting the value that determines when a task becomes critical task (Tools > Options > Calculation).

However, this could be confusing to other stakeholders who view the project file, so I’d advise you to keep with the default value of 0d.

To then view the critical path, you can do so one of three ways, choose which option is most appropriate for your audience, I tend to lean towards having a Red bar colour for critical tasks but you don't have to.

Critical Filter
Simply select the Critical option from the Filter drop-down menu on the Standard Toolbar, or via the following path:

Project > Filtered For > Critical

This will ONLY show critical tasks, all non-critical tasks will be filtered out

Gant Chart Wizard
Using the Gantt Chat Wizard you can differentiate between critical and non-critical tasks by assigning them different bar colours. Red for critical and Blue for non-critical.

Format > Gantt Chart Wizard

When the Gantt Chart Wizard dialog box is open select the ‘Critical’ radio button.

This will ONLY format the Gantt Chart bars

Text Style
This is a similar process to the one you followed to remove the Text Style formatting, except you select ‘Critical’ instead of ‘ALL’ from the Item to Change drop-down menu.

This will also allow you to differentiate between critical and non-critical tasks by assigning them different bar colours, but in this instance you can then change the Font and Background Colour for the critical tasks to suit your purpose.

This will ONLY format the Text and/or Cells in the Table.

No problem, glad to help.

Just one more thing to check. If you use the change highlighting function in 2k7 you may want to reimplement that. The method I gave you to get rid of the cell highlighting problem you had might have wiped it.

In the Text Styles dialog box select the ‘Changes’ option from the drop-down menu and double check to make sure the is a colour other than ‘Automatic’ selected in the Background Colour drop-down menu options.
