I am looking for suggestions on what web based communication I could use with members of my team. Other than simply sharing documents via email (which can get lost in a thread), is there a platform where I can create folders to house these documents and set up various groups within the team to allow open discussion? I have tried MS Teams but those outside of my organisation cannot access the teams function fully, and OneDrive files cannot be shared with those outside of my organisation either. Any advice welcome. Thank you.

In my actual work place we use both and we use that because we work with external people. I mean, external people can access and collaborate. In fact, we use the MS Team feature to create a "pseudo-Kanban board" thanks Planner. The addtional tool we are using and we are in the process to make it our unique tool is MS Azure DevOps. But, I am not an expert in MS Teams or OneDrive so perhaps there is something I do no know that allows us to do that. For internal communication we use Yammer.

Do these need to be actual documents or rather just structured information? If the latter, then consider a wiki platform such as Confluence as it will enable a higher level of collaboration than a shared document platform would.

Thank you both Sergio and Kiron or your replies. Google drive seems to be a good option to create folders and share with those outside of my organisation. I can continue to communicate with individual groups via my outlook email account. Seems to be a good option while limiting the number of platforms used to only 2 for everyone involved.

Thanks for your advice.

You are welcome. In my personal experience which is hard is "to push" people to understand that those are the only mean of collaboration. In fact, we still are working on that. In our case, in some cases it is because the company is a global company and access to internet is not the same in Latin America than Europe or USA including it is not the same for each country. But to be honest, the only way to start pushing was when two very very very important persons published "I will not answer emails in the future. If you like to communciate with me do it from ....." and they did what they published.

Your selection may depend on your security requirements. My employer uses a variety of servers, and applications some of which are commercially available and others built in-house.

Some information requires more stringent security or configuration control. Certain documents must be managed in a secure environment with strict record retention requirements. This can include information coming from outside the firewall, and those that control product definition.
