reports for managers at different level

Hi,

What kind of reports do i have to present to:

- internal team?
- managers?
- higher level managers?
- highest level managers?

I am working on a project which i have to prepare all kind of the reports for relevant managers at all levels (i am not given a clear guidance of what they really want to see in the PowerPoint file).

Your comments will be very much appreciated. Thanks you very much for your time.

Hi Kimsan

Apart from the standard PM documentation to initiate, mobilise a project one key report is the Progress Report, Gantt Project Plan, Budget report [what has been spent against actuals etc] these documents can be presented to internal teams, managers, and high level managers. For your stakeholders they too can receive same reports, but if you are having lets say a weekly, fortnightly or monthly meeting with your Stakeholders, I would suggest you create a presentation slides in power point and walk them through, providing they also have hard copies too. If they need anything specific they will request it from you.

Highest level managers typically aren't interested in the detail. I would provide a Red/Amber/Green status, and a sentence explaining what the issues are if the status is Red or Amber.

Then I'd do a financial paragraph saying whether you are on budget or not. And finish with a couple of the major risks. Aim to fit it all on one slide.

If they want more information they will ask for it.

For lower-level reporting, people tend to want more information anyway, as it is more relevant to their day-to-day work. Once you have done one round of reports you can ask for feedback, and people will tell you if they want more or less information on any topics.

Hi! I agree to all of you. Will try and add my two pennies.

- internal team? - I believe this is the project team and you need to show them more detials; RAG of course but going a bit granular and may be at an activity level where they realise what's going good/ not so good. I personally think a spreadsheet/ detailed ppt is a better option. Weekly/ regular project meetings.
- managers? - ppt. Ideally a RAG; some might be interested in the outcome of the RAG (I mean what's the improvement plan or way to Green)
- higher level managers? ppt again - Financial definitely; EVA Analysys; Issues that need to be escalated.
- highest level managers? 1 slide with highlights, lowlights (very high level); EVA and if there are issues that need further escalation.
