reporting on mobile devices

Hi,

I am working on a project which its weekly report need to be sent to the concern managers. I normally send out the attachment in PowerPoint formatted. All the manager are using both PC and mobile devices in which they can access their email any time they want.

There was on time when they were in the meeting and immediately they want to see the latest update of the project. I sent them the PowerPoint file then they ask for text because they cannot view it.

Could you please give me some tips of how to prepare the report which can be view by both PC and mobile devices? Or do i need any special software to do this?

There are PowerPoint viewer apps available for most smartphones - if this is going to be a regular occurrence then you should consider these.
If you really need a text version, simply save the PowerPoint file as an Outline/RTF file, which will extract the text. You'll lose all the formatting when you put this in a text email, of course, but you'd probably just wat to cut/paste the key points anyway.

Have you thought about just doing a text update and not doing the PowerPoint update at all? Alternatively, you could consider saving the update as a .pdf file, as in my experience these are easier to view on smartphones.

I think all smartphones have the ability to read PPT but if not another easy option is to convert into a .jpeg. Its the easiest option and all phones should be able to read it. You should be able to send it as a simple text (attachment) as Elizabeth suggests or just as a file. JPEGS are readable in most phones.

I find it very handy sometime trying to send MPP files as most techies do not have project on their machines and need the mpp files in a readable format. JPEG is an easier option with file sizes quite small....caution do not go for bmp as they are much bigger in size and people might not like to get a big file on their phones.
