PMO best practice - Process Improvement.

Can someone share ideas, templates, suggestions, or recommendations for an optimized project intake process and approval? Thanks

we relied on Excel as tool and it was fine.
There was a significant effort to select a PPM tool but it failed.

As for templates, you can build a 2 page excel sheet within a day once you have made up your mind about the process and the data you want to have included.

A key factor are the roles and responsibilities. We managed to let the PMO manage the process and all decisions being made by the business governance body. But by presenting the projects to be accepted and understanding the process the PMO has a powerful role.

A good indicator if the process works could be your rejection rate above 10%. Also, for service projects, having a mandatory pre-project developing a quality assured business case and validated data for your intake process might be helpful.

Thanks, Bill! this is great. From the service/PMO organization we might kick off a new process but your points are valid as to qualifying the projects for approval criteria can then be linked to the SmartSheet PMO template set with project request sheets. Probably I will go ahead and perform some background assessment to come up with a tailored process for our purpose.

As part of setting up an Enterprise PMO, I defined Project Approval, Conduct Discovery, and Project Close process flows.

The Approval process included an early pre-qualification step before much time was invested, a discovery step for project sizing, a prioritization activity, and finally approval by an Operating Council. Templates included a Project Definition Document (aka Charter) and a 10-point Risk Analysis Checklist to assign the project into priority tiers 1, 2, or 3.
