I am fortunate enough to be part of an organisation, which involves the PM in the project acquisition phase, which in my opinion should be the case with every project. This helps a lot in "Risk Management", "Claim Management" and "Solution Design" (for IT projects)
However, if you are tossed up a project, after the contract has been signed, what are some of the documents and deliverables, you need to ensure you have access to.
I have put down below some of the documents which if present makes the life of the PM easier in executing the project. This is not an exhaustive list, It will vary depending on the project's nature and industry.
o Project Needs Statement
o Project Concept Document (or similar documents which lists down information about the customer, sales responsible, project duration, project volume, resource details, place of execution - on-site vs. off-shore % etc.)
o Business Case (or similar document which provides the necessary information from a business standpoint to determine whether or not the project is worth investing in)
o Information regarding the Opportunity and Customer.
o Approval from Management to seek the Opportunity
o Project Categorization - Escalation Level, Level of Authority
o Development Approach
o Technical Feasibility Study
o Benefit / Cost Analysis
o Initial set of Requirements (RFP / RFQ/ RFI)
o Initial Risk Assessment Document
o Contract including SOW, SLA s, Payment Milestones etc.
o Financial Figures / Calculations including Cost Estimates.
o Definition of Deliverables and Services
o Proposal
o Terms and Conditions
o Defined Negotiation Framework (incl. Claim & CR Strategy)
o Acceptance Plan (as part of contract) – Accept. Procedure, Accept. Criteria
o Open item list and actions assigned
o Project Hand-over document from Sales phase
o Documented Nomination of Project Manager
