Analyzing status of a project

Hi,

I am working on a telecom project which i need to contruct the equipments room, erecting tower, and put the cell sites in service.

Now i need to do the analysis the status of this project. Some of the critical milestones have been delayed due the the late delivery of the materials and equipments.

What i can do now is to summary those milestones which are being delayed, how many days that it has been delayed, the % completion of each critical milestone, and why it was delayed.

Those above mentioned are the only thing that i can think of and reporting the boss.

Could you please advise what should be taken to account in or der analys the status/result of such a project? Or may i please a sample project analysis file or a template so that i can use it as a reference?

I would sugest a very simple approach. Start with the planned float, then assign each day (or hour) of lost float to an event. For example:

Planned float: 5 days
Lost Float:
1 day - delayed delivery of cables (Vendor Name)
6 hours - weather alert caused work stoppage on
etc . . .

I would also include in your report a plan for how long you think it will take to get back on track. At the moment all your report items are retrospective i.e. they report what has gone before. In my experience, executives also like to know what should happen next to get things back on track.
If you can't offer this information, add a paragraph that says you will need x number of days in order to fully assess a recovery plan. There's a book called Rescue the Problem Project by Todd C. Williams which has a step-by-step approach to assessing and recovering poorly performing projects that you might find helpful.

It is best to perform a critical path analysis/reporting at this stage if not already done. Form a critical path based on your major milestones and point out the effects on those due to the delivery of materials and equipments. Be sure to project the estimated lag time based on your prior knowledge of the suppliers.
Another point you can report is your prior assessment of these supplier related risks. You can report how you had planned to manage these risks at the start of the project and how you are now resolving as these risks have become real issues.

I think that if you just summarize the milestones you may be telling them what they already know. I would talk to many of the key stakeholders and trying to understand what is causing the delays. Start with the constructions workers and work your way up the ladder. Many of the individual contributors will be feeling beat up and by simply talking to them you may hear a lot that others have not heard. I use three questions:
- What is wrong with this project?
- What has to happen to fix it?
- How can I help you do that?
This starts building trust (it all focused on them) and gets you information others don't have. I would try to push the meeting out until you have this data.

Ideally project of this nature will have a predifned reporting format which should detail the items that should be furnished in a status report. Now that in your case we do not have one, define one by considering the audiance of the report.

A typical status report include but not limited to:
1. Snap shot Schedule of current tasks in progress showing dependancies
2. Highlights of activities completed from the past reporting period
3. Deliverable/Milestones with Actual date of delivery and Slippages if any. Indicate Budget and Schedule slippage.
4. Exceptions
5. Issues and Risks if any with mitigation plan
6.Planned actions for next reporting period

If there is considerable delay making significant changes to schedule and budget, approach with a complete exeception plan.
