Best practice for managing daily project tasks

My first posting :-)

Over the years I've been struggling to find out which tools and processes to use to manage all the tasks, I have as a project manager. I'm not talking about creating a project plan, but all the tasks each step in this plan results in. All the things to followup etc.

Which tools do you use to maintain such a task list?

There is a newfangled project monitoring solution that combines agile with global indicators. Every team member can be included in a Trello dashboard, to update the state of his respective tasks. 20% of time - Self organising tasks with reference to big picture - Consolidate the project status & personal work; Derive the to-do list for the day(recommend early morning hours = 5 to 7am)
20% of time - Urgent & important tasks - fire fighting mode = meetings, reminders, daily standup meetings & follow-up (8 to 10am)
20% of time - not urgent & important tasks - working mode = Planning Agenda, meeting for next weeks, preparing & updating planning documents of various knowledge areas (10.15am -12.15am)
20% of time - not urgent & not important tasks - silent mode =
Analysis on failures, referring at LLBP history, cleaning mailbox/workplace/ PCs, preparation of long term planning tasks, stakeholder engagement (1.15pm-3.15pm)
20% of time - urgent & not important tasks - vibration mode = closing meeting, review meeting, monitoring & control of projects, helping team to achieve targets with best practices & through coaching (3.30 -5.30pm)

After evening hours - Socialising with family & friends

We currently track our work in ClickUp. When I started with the company, the developers were using Trello. Each developer had multiple, separate Trello boards for their work. Their work and workflow were not visible.

We selected ClickUp because Marketing was using it and we didn't want to spend 1-3 months searching for the perfect solution. So far it's working.

- I like the board and list views.
- The form view is working well for work intake. We've published a link for the form so that you don't have to have a license to report an issue or request an enhancement.
- The Gantt view is not as intuitive as MS Project or Project Libre - I like either of these for being able to model the impact of schedule changes.
- I wouldn't mind if it handled attachments better, but having a document view at both the list and folder level is nice for keeping project documentation right there with the work.
- It will be nice once they introduce subfolders, later this year.

I use a virtual work board to keep track of my To Do, Doing, Waiting and Done. It works well for me.

Use a digital - To do list. As tasks keep accumulating. And cross off once completed or done. Also, you can use digital Kanban. The most useful one is manual is sticky notes where you can write three important tasks for the day and get it accomplished every day. This is suggested by Kevin O Lary a successful investor.

I actually like to mark it done just before I start. That way, it forces me to see it through the end and not let anything divert my attention.

Do what works for you. My tasks are little different and have dependencies, so my style is to check mark only after the task is complete.

Monday.com is our CRM of our choice. It took about 30-days to learn but it has really paid off and we are able to give external stakeholders the ability to communicate and view updates through permission based logins.

MS Teams Tasks is a tool you could use to manage tasks in the project team. Cards can be written to add in a Kanban, assignees will get a reminder, also when the due date is approached. communication on the tasks can be done in the ticket as well.
Next to that thick boxes can be added, as well as links to documents.
Overall task overview can be made in Kanban-style, per person, etc.

Same can be done in Jira, with some more sophisticated features.
