Does anyone have a template for removing a customer once a contract is complete? I'm in the payments industry and work closely with IT, APP teams, and DEVOPS. There are no PCI requirements for this particular instance.

Chandra,

not sure that I understand you correctly.
'removing' a customer might not be a good idea in general, they hopefully are satisfied and become recurring customers.

If we start with the contract, this should lead to initiating a project from your organization and assigning a project manager to deliver the contract on behalf of the organization. This could be documented in a short project charter, based on the contract and maybe organization specific requirements (like profit margin, or documentation, compliance .. ), to deliver the contract.

Once the project ends, you could have a short document, which I know as acceptance agreement, basically saying 'contract delivered' and signed by the customer. If there are open issues, they could be listed as to be delivered by your company at a later point. With that, the project would close from customer's view. You might still have to take care about some organization specific requirements.

Thank you for your input Thomas! Yes, in this scenario the customer is actually being removed from a payment switch/platform because the contract ended and there's a mutual agreement not to renew. I'm looking for a template suitable for this scenario.

Chandra -

This is not a project management activity but rather an operational one. When a formal contract ends, it is a good practice to send written notification that it is over, but the specific look & feel will vary by company and context.

If you have a procurement department in your company, you can get a template for a notification of contract closure from them and update it to include some verbage indicating the removal of the customer from the platform.
