How PM can ensure he is using right words or writing words in a correct order in sentence while writting email to someone or to team so that words or sentence will not sound

- Demanding
- Threatening
- Ordering

It will be great if someone shares resources to learn this skill.

it is practice and should be internalised so that you do it unconsciously. You are already aware of it and probably your current gaps - which is very good. A focused learning effort by you (2-3 texts per day) should take 2-3 weeks.

Some hints
- before writing, put you in a loving (!) mood, imagining to support your people, focus on them, not the problems you want to write about
- critical items should be shared by talking instead, criticism 1:1
- make sure you write emails in cold blood, not as knee jerk reaction while you are angry, stressed or fearful (hence the tip to sleep over a email reply)
- create a list of words (e.g. inform, help) to use and words to avoid (e.g. must)
- ask someone to review your text
- beware of hiding behind management or the customer, e.g. for just sharing their threats - in your email YOU are communicating
- write factual emails, not about emotions

To add to Thomas's great list, there are a few AI-based text analyzers emerging which can review & suggest alterations to what you have written. I don't have personal experience with any of them but that might be another avenue worth exploring...

Some tips I learned the hard way:
  • Don't send important emails when you are tired. Save it and look at it when you are refreshed.
  • Don't use emails when the content is emotional. Emails can too easily be misunderstood. When emotions are involved, talk to the person.
