How do you assess Project Relevant Data and privacy concerns?

When I started my career in France 13 years ago, I needed to drink coffee several times a day because this is where the important information would circulate.
With the rise of remote work, more information can now be captured since a lot of the communications are now done through teams or zoom or similar.
Which tools do you use for digital collaboration? How do you assess which data is relevant for capture? Collected data could be analyzed to create automatic summary and schedules update. But how do you handle privacy? Saving Changes...
While a PM could use informal online discussions (e.g. Slack group chats) to keep their finger on the pulse of the project, the objectivity and accuracy of what is being discussed might not be sufficient to have that information used as is without separate verification or conformation. And so long as the data mining and analysis is restricted to group-based conversation, privacy should not be a concern the way it might with private messaging between team members. This could still impact team psychological safety however...
And in most companies, they will expect you to have signed something saying your use of their systems makes the data captured in those systems the company's property.
I would start by researching RIM (Records and Information Management) and configuration management to set a baseline as to what raw data and information must be kept by rule. Add to that other information that you identify as providing business value either as an organizational asset, or to provide feedback and control when managing products and/or projects.
One way to protect data and provide access to users as a dashboard or for other metrics utilization is through a portal such as Tableau. Those types of tools may have various levels of access controls. People without access to the raw data files can still get access to the program that gathers and displays the data. Others with higher level access can access the source data to build custom queries. Access can be determined by user roles on a need-to-know basis.
It is not enough for the team leader to understand the rules of information management. When data must be protected, the entire team needs to be trained on the rules. That includes data marking (e.g. Proprietary or other limited use), disposal, and document control whether it is in a digital or hard-copy format. I think you should look for a platform that offers encryption, authentication, access control etc. for example Google Workspace, Microsoft 365, and Dropbox etc. Try to avoid using personal or public devices to access your project documentation, as they may expose your project relevant data to hackers or unauthorized users.
