Org meeting structure?

Hey fellow PMs,

Up to a PM challenge?

Quite an interesting challenge. I have an idea how I would solve it (PMP holder myself) but I'm very interested in YOUR solution. Maybe I'm way off.

So here we go:

Meeting Structure Proposal

Propose a monthly “always-on” meeting structure for the marketing team, considering effective work between the HQ and the local teams. Describe in a simple way who you think should meet with whom and how often.

What's the purpose of the meetings? If they are for information sharing, dispense with them and use a pull-based approach with information radiators. For working sessions, identify ambassadors within each distinct team who will work with their counterparts on an as-needed basis to complete work involving all the teams.

Monthly “Always-On” Meeting Structure Proposal:

To facilitate effective collaboration and communication between the marketing team at headquarters (HQ) and the local teams, the proposed monthly meeting structure includes the following:

1. HQ Team Meeting:
- Frequency: Once a month
- Attendees: All members of the marketing team at the headquarters
- Purpose:
- Update HQ team members on overall marketing strategies, goals, and progress.
- Share important announcements, initiatives, and campaigns.
- Discuss and seek input on upcoming projects.

2. Local Team Meetings:
- Frequency: Once a month or as needed
- Attendees: Local marketing teams from different locations
- Purpose:
- Collaborate on implementing HQ's strategies at the local level.
- Share local market insights, challenges, and success stories.
- Discuss and align local marketing initiatives with the overall marketing goals.
- Exchange ideas and best practices across different regions.

3. HQ-Local Team Meetings:
- Frequency: Once a month or as needed
- Attendees: Key representatives from the HQ team and local teams (e.g., team leads, managers)
- Purpose:
- Review progress of local marketing initiatives and campaigns.
- Identify and address any roadblocks or resource requirements.
- Ensure alignment between HQ strategies and local execution.
- Provide feedback and support to optimize local marketing efforts.

4. Individual Check-ins:
- Frequency: As needed or once every two weeks
- Attendees: HQ team members and their respective local counterparts
- Purpose:
- Foster stronger collaboration between HQ and local teams.
- Address specific challenges or questions specific to regions.
- Share updates on ongoing projects and synchronize efforts.
- Discuss and resolve any bottlenecks affecting productivity.

Additional Considerations:
- Utilize online collaboration tools for document sharing, real-time updates, and virtual discussions.
- Encourage continuous feedback and open communication channels between the HQ and local teams.
- Adjust meeting frequency or participants if the team size or business needs change.
- Adapt the meeting structure based on feedback from participants to ensure its effectiveness.

Remember, the key aim is to nurture a cohesive and well-informed marketing team, fostering effective collaboration and alignment between the HQ and local teams.
