Gen AI data readiness is critical aspect when working with GenAI. In my organization we have established an AI Agile team with a clear mission of identify AI solutions and play key roles in the rollout planning. This team is working with different projects across the organization to help PM and other stackeholder's to better utilize AI tools with the concept of automation, assistance and augmentation as we learned in the beginning of this course.

My project generates a lot of textual content in the form of reports. These reports contain insights, observations, risks etc, I use GenAPI to generate the reports and ensure that the reports are written clearly. This saves a lot of time to write and proof read the content.

I like to use it for faster and effective methods of communication, the predictive analysis firstly, secondly, it helps provide me accuracy in time, reduces time and improves efficiency in my day to day tasks. the AI/ML is essential for project effectiveness and analysis of business process improvement in a systematic manner, at the end of the day time counts. I feel like if I did not use AI/ML I could not finish certain tasks in time. Hence, initiating it in smaller projects that do not need much of SME expertise would make a huge difference and allow our focus on the bigger projects.

I agree with Rami Kaibni that it will be difficult to incorporate GenAI into my workplace. I will approach our IT regarding firewalls and network restrictions. Thereafter, I plan to approach the team with single tasks at a time. First I will present a WBS, then risks and follow with a project schedule. I have members that are very curious which will work to our advantage. As others see the efficiency and effectiveness of the deliverables, I am sure use of GenAI will garner the attention that's needed for it to become a frequently used tool..

I create and use what I call "recipes" for the methods I use. I haven't done so yet for GenAI data, but intend do so after I complete this course. I the first will be on data ethics.

Claudia, this is a great question. However, given the nature of what we do as consultants, we haven't yet started preparing for this but would be very interested to see what other professionals and organizations are doing!
Hi. We have investigated but have not yet applied to field cases.

Hi Claudia and all, our organization has gone through a rigorous compliance review to establish guardrails and protected systems that we may use to enhance our work using Generative AI. I have dabbled in sharing data that would allow us to make decisions based on business case requirements from transcripts. The case was a first draft at best and was refined through subsequent elicitations. Leading from the portfolio level also helped me share this with the assigned PM, who was able to ask additional stakeholders questions to ensure the appropriate objectives were determined, and plans were built around them. We are still refining our processes to assist our project and program developments. For me to prepare, I have studied and practiced prompt engineering to help the GPT better understand the context and boundaries that I would like it to assist us with.

Our Marketing and IT department heads have put together a Taskforce to implement AI in our company. They have drafted up a governance without input from the other members on the community. There is a rush to start using ChatGPT but I fear we are not all in step with the approach. Thank you for the checklist I think might help us to align again on this topic.

Dear Claudia,

Specific checklists and protocols can be beneficial to assess readiness for working with Generative AI (GenAI) data within a project or organizational context. These tools help ensure all necessary factors are considered and addressed before integrating GenAI into your workflows. Here’s a structured approach:

GenAI Readiness Assessment Checklist:
Infrastructure Readiness:

Evaluate existing IT infrastructure for compatibility with GenAI requirements.
Ensure adequate computing power and storage capacity.
Assess network capabilities for handling GenAI data processing.
Data Management:

Inventory available data sources relevant to GenAI applications.
Assess the quality, volume, and variety of data.
Establish data governance policies, including data privacy and security measures.
Skills and Knowledge:

Evaluate the team’s current understanding of GenAI.
Identify skill gaps and plan for training or hiring.
Ensure access to GenAI expertise, either internally or through external partnerships.
Legal and Compliance:

Review data usage and GenAI applications for compliance with laws (e.g., GDPR, CCPA).
Assess ethical considerations related to GenAI use.
Technology and Tools:

Identify and evaluate GenAI tools and platforms suitable for your needs.
Ensure compatibility of these tools with existing systems.
Risk Assessment:

Identify potential risks associated with GenAI implementation.
Develop strategies for risk mitigation.
Stakeholder Engagement:

Engage with key stakeholders to understand their expectations and concerns.
Develop a communication plan for GenAI integration.
Pilot Testing:

Plan for pilot projects to test GenAI integration.
Define success criteria for pilot projects.
Feedback and Improvement Mechanisms:

Establish processes for ongoing feedback on GenAI use.
Plan for regular reviews and updates of GenAI strategies.
Protocols for GenAI Integration:
Project Initiation Protocol:

Define objectives and scope for GenAI application in specific projects.
Conduct initial stakeholder meetings to align goals and expectations.
Data Preparation Protocol:

Standard procedures for data cleaning, labeling, and preprocessing.
Protocols for data security and privacy during GenAI handling.
Training and Development Protocol:

Guidelines for training team members on GenAI tools and concepts.
Schedule for ongoing learning and development.
Quality Assurance Protocol:

Steps for validating and testing GenAI outputs.
Regular audits to ensure quality and accuracy.
Change Management Protocol:

Guidelines for managing the transition to GenAI-enhanced processes.
Support structures for team members adapting to new tools and workflows.

Conclusion:
Implementing these checklists and protocols provides a structured framework to assess and prepare for the integration of GenAI. It’s essential to approach this process methodically, ensuring that infrastructure, data, skills, and compliance are thoroughly addressed. Regular reviews and updates to these protocols are also crucial as GenAI technology and its applications continue to evolve.

BR,

Markus
Thank you for sharing. Today I work on a Gen AI project at a retail company in Brazil. I will use your checklist in the next release.

They are starting a pilot on AI with our everyday operations work. The program is in the beginning stages and is assessing how we might leverage AI and through which AI program.
