I find that GenAI is a very valuable tool in project management in this day and age, even as it's used for moderate automations such as meeting minutes, notes, etc. Saves a lot of time and increases efficiency.

Our organisation has recommended the use of Microsoft Copilot to support day to day admintasks. I am still in the process of learning about AI tools and exploring their capabilities with curiosity and caution. I see significant potential in AI when used ethically, particularly with strong consideration for data sensitivity and governance. We are fairly small non-profit arts organization, and have only begun to use CoPilot & Chat GPT on a more widespread basis within the company. I've only used CoPilot for cleaning up correspondence (not drafting it). I am looking forward to using it to handle repetitive tasks (labor estimates, contract summaries) once I gain a better handle on how to feed the data safely into the LLM. I utilized Generative AI platforms, including Infinity, ChatGPT (OpenAI), Gemini, and Perplexity, as analytical support tools to develop and standardize Work Performance Reports (WPRs) during the Monitoring and Controlling Process Group. Each platform was applied based on its specific analytical strengths and processing approach. The effectiveness of AI-generated WPRs was dependent on structured prompt engineering and the use of validated, high-quality project data. Work Performance Data (WPD) was systematically collected from organizational systems, key stakeholders, and other relevant stakeholders. As part of project governance, this data was reviewed, cleaned, and sanitized by the Project Manager to ensure accuracy, consistency, confidentiality, and alignment with PMI ethical and information management standards. Using approved Work Performance Information (WPI)—including scope status, cost and schedule performance metrics, Earned Value indicators (SV, CV, SPI, CPI), risk and issue updates, and contractor compliance data—the AI tools were used to consolidate and transform the information into comprehensive, decision-focused Work Performance Reports. The resulting WPRs supported timely stakeholder communication, enabled trend analysis, and facilitated corrective and preventive actions when performance variances or non-compliance were identified. This approach enhanced reporting efficiency, improved governance transparency, and strengthened management oversight while maintaining full accountability of the Project Manager for performance assessment and decision-making. Using a variety of tools. Of course I'm leveraging AI notetakers and research agents in platforms such as Gemini, ChatGPT, and Notion. It's important to find tools that allow you to upload proprietary information for your projects and not to use these technologies as 'Shadow Tech' that hasn't been approved for use on the project.
