Seeking help on Project Document to use.

My project is moving into Phase 2. What project document do I need to use to document the scope of work to be executed in this phase? Note: Phase 1 of the project was initiated with a project charter. However Phase 1 is completed and closed.

If the project charter covered only what was expected to be delivered in Phase 1 then another charter could be used to authorize the Phase 2 work at a high level and then once detailed planning has been done, a WBS, schedules, budgets and other detailed planning artifacts could be baselined for Phase 2. If the charter was covering the entire project (all phases), then you would just use a WBS, requirements documents or other scope/requirements artifacts to document the detailed scope and get signoff on those.

I agree with Kiron that the WBS can be used to cover the scope of work. The WBS breakdown is very often structured as a hierarchy in different layers or tiers like a pyramid. The top tiers define the scope while the bottom tiers define the detailed statement of work.

If a SOW is broken out into phases, Tier 1 might be the overall project start to finish. Tier 2 might be phases 1 through N. Tier 3 might be a breakdown of Tier 2 scope by major functions for additional detail.

If your charter covers the entire project and your WBS is broken out by phase, then the approved Tier 3 WBS further breaking down the Phase 2 section of Tier 2 would define the scope.

Even though you had an initial scope defined in your project charter, it's crucial to revisit and update it for Phase 2. This document will outline in detail what's included in Phase 2 – what the deliverables are, what's expected, and maybe more importantly, what's not included (to prevent scope creep).

3. Work Breakdown Structure (WBS):

I always find a WBS invaluable. It breaks down the work into manageable sections, making it easier to plan, schedule, and allocate resources. For Phase 2, your WBS will be specific to the tasks and deliverables for this phase.

4. Risk Management Plan:

With a new phase come new risks. Updating or creating a Risk Management Plan for Phase 2 is essential. It should outline potential risks, their impact, and mitigation strategies specific to this phase.

5. Communication Plan:

Don't forget to update your communication plan. Phase 2 might have different stakeholders, team structures, or reporting needs, and you want everyone on the same page.

6. Change Management Documentation:

If Phase 2 involves significant changes from Phase 1, it's important to document how these changes will be managed, who approves them, and how they're communicated.

Reflections and Learning from Phase 1:

Also, a quick tip: before diving into Phase 2, take a moment to reflect on Phase 1. What worked well? What didn't? Incorporating these learnings can be incredibly beneficial for the success of the next phase.

So, in a nutshell, while your project charter got you off the ground for Phase 1, Phase 2 will need a bit more detailed planning and documentation. It's about building on what you've already achieved and setting the stage for the next phase of success. Have you thought about how the outcomes from Phase 1 might influence your approach in Phase 2? Sometimes, past phases can provide valuable insights for planning the next steps.
