Dear Claudia,

The possibility of leveraging AI to quickly and securely explain discrete concepts, as well as organize and analyze data, is a significant advantage of using this technology. Input data continues to be a key aspect for consistently achieving larger gains at scale, and we are making progress in this area.

Specifically, having a Gen AI generate initial ideas for brainstorming or as the seed for content to be discussed in new ideas is greatly beneficial for our projects. This is applied in every aspect: risks, stakeholders, strategy, planning, etc.

Data privacy and protection must remain at the top of the agenda to safely take this technology to new levels.

I haven't utilized Generative AI in my projects as much as I would like to.
I did however use it to help me assess potential risks before the start of a project based on the information I had pulled from the statement of work. This helped me proactively plan some milestones given the impacts stated.

I also used AI to help me create some data presentation in Excel with regards to budget managment, margin analysis based on resources allocated to the project. This was very easy and also saved me a lot of time.

Pros of Gen AI - making PM's day to day tasks more eifficient.

I have used AI in the writing of job descriptions. It saves time and effort as it takes care of formatting and headings for you. Massaging it to meet the need was fairly painless.

I have also seen it used to create project charters. It is like having someone fill in a template for you based on what you told them. Of course, you always have to review, modify and generally make it your own.

I also always tell people if I am sending around an early draft for input and comments that the draft started as an AI piece of work, citing which AI tool was the "helper".

I haven't had a chance to fully integrated GenAI yet but I've had productive discussions on this topic in my previous role. We focused on aligning AI with strategic pillars and ensuring mission and vision alignment. Currently, I'm exploring use cases for proof of concept in anticipation of future discussions.

Hello Claudia,

Indeed, we've had some remarkable successes with the integration of Generative AI in our projects. One standout achievement was using AI to optimize our resource allocation process, which led to a 20% reduction in operational costs while maintaining project efficiency.

Data has been the cornerstone of this success. By feeding the AI system with comprehensive historical project data, the AI was able to identify patterns and inefficiencies that were not immediately apparent to our team.

Challenges were primarily around data curation and ensuring model interpretability. Initially, our data was not in a format that was immediately usable for AI processing, so considerable effort was spent on cleaning and structuring the data.

The benefits, however, have been substantial. Apart from cost savings, the GenAI has provided us with predictive insights that help in proactive decision-making. It has also fostered a data-centric culture in our team, making us more analytical in our approach to project management.

Looking forward to further discussion and insights from others!

Hi Darryl,

I've used it a lot and I'm always on the lookout for new developments in the world of A.I. I'm currently working on an IT service governance project and generative has helped me a lot to develop policies that are more appropriate to the context, analyse large volumes of data and generate valuable insights. It's important for us as project managers to realise that there are a multitude of tools to support different sectors. As an example, I can cite Artificial Intelligence tools that enter meetings and automatically compile all the minutes with a full transcript (in minutes). This is a huge step forward, and if we take advantage of it, we'll reach the highest levels of efficiency.
I would be interested in knowing what AI program you use for compiling meeting minutes. It will save me so much time because I average multiple meetings a day. I use chatGPT to help brainstorm on policy concepts for our IT governance topics.
