We don't have a secure GenAI platform available, but using only the public organizational policies, I was able to put those into ChatGPT and ask it to create an FAQ of all possible questions that employees could ask with respect to these policies. My goal would be to eventually create and program a chat bot that could answer any question on any company policy, which would avoid the many emails and phone calls we regularly get asking if someone is allowed to do this or that. In one of the project, we had to create a chatbot which will answers users queries for a specific product. This required us to adjust the model so that it will only limit it's context to one perticular product and not answer the question based on general knowledge. Approved Gen AI is not officially available for our team to use. However, stripping any sensitive data and keeping the topic generic and in line with our company policy for public AI tools, I have been using ChatGPT to help with brainstorming, streamline content for faster and more effective communication and some general project management topics. Waiting for full fledged org-approved Gen AI tools to use it to the fullest.

I do wish GenAI was more available in the corporate sector. Simple use of minute taking tools like Otter.ai, Zoom AI, Webex AI could make such an impact to efficiency and time savings for project members. I do understand the fears about of data privacy and of course the cost of building their own LLM; however, at least placing parameters of specific use in place in the interim would be helpful.
My current best practice in projects is to use GenAI to brainstorm and deliver data from a role specific situation where I may not have expertise. For example, working on a cloud migration project where I may not have the full expertise, I will ask the AI to take on the role of system architect, cloud specialist, and/or technology risk officer to analyze potential pitfalls and risks to look out for and utilizing those lists to ask for potential mitigation ideas and deployment backout step suggestions. On personal level, it has increasing efficiency and improving quality of documentation. It is great tool while conducting research online since it can provide summaries or point out more accurate subset of information.
At Organization level, it has been extremely efficient. Generative AI is used for wring DIR to perform user acceptance testing and producing outcomes which are easy to understand for stakeholders at all levels.
