Have you experienced wonderful, potentially unexpected successes using Generative AI in your projects?

I recently used NotebookLM and uploaded all of my personal test results surrounding my "behavior" (think EQ, Myers-Briggs, DISC, etc...). It was well over 1,000 pages of data when you added in all the graphs from multiple tests. Within seconds, it spit out a summary of my personality and good dos and especially good don't dos for my team. However, the coolest part was the podcast it formed (approximately 18 minutes), all about me, and it was spot on. It was funny, engaging, and a different way for my team to learn about me on their own. What better way to test AI with a bunch of data than when it is actually all about you!

Gen AI has been useful in the Proposal drafting process, enabling NBDs to save time by searching up information from past proposal narratives that would have otherwise taken days, weeks or even months reading through documents. We still have a long way to go but the value and real impact has been felt greatly..

AI has been a complete game changer for my project research process. The speed and depth of analysis it provides has significantly improved my workflow. That said, I'm realizing I need to incorporate more high-quality data to get the truly customized, precise responses my project requires.

I've used Gen AI to assist with the development of project documents, such as notes and training material. I've also used it to generate ideas that can be used to provoke ideas while brainstorming. While a significant amount of information, that must be reviewed, is sometimes generated, overall it has reduced the time taken with some of the more mundane takes, such as note taking. It also draws attention to some things that may not be immediately considered by the group.

Hello Claudia,

No, I haven't yet used Gen AI for project purposes. However, I believe some organizations are not following up with this new development. What I would be very interested to know from you or other fellow PMs/Consultants or Advisors is what kind of tips from your experiences you will share on how to engage some of the organizations to consider introducing such a new initiative. From my experience, often organizations are not willing to accept any suggestions that will improve their day-to-day operations, but rather continue with what they are most comfortable with and have been using for years. I would appreciate some tips and techniques for introducing Gen AI.

Yes, one of the most rewarding—and unexpected—successes using Generative AI came during the integration of a lightweight AI algorithm into a SCADA environment for an energy monitoring project aligned with COP16 goals.



🌟 Success Highlight:
We used a simple Gen AI model hosted within a containerized Anaconda environment (orchestrated with Docker Compose) to analyze power consumption trends from InfluxDB time-series data. The AI-generated insights were then visualized through Node-RED dashboards. Unexpectedly, the model helped uncover hidden inefficiencies in the load distribution during peak hours, which led to a 12% reduction in energy waste over two months.



📊 Role of Data:
High-quality SCADA data—particularly voltage, current, and power factor—was essential. Preprocessing and normalization were critical to ensure the model could learn from operational behavior and not just noise.



🚧 Challenges:



Data readiness: Even though SCADA generates rich data, it wasn’t always clean or labeled well enough for AI use.



Integration limitations: Industrial protocols and real-time requirements made us rethink how fast and light the Gen AI model needed to be.



Trust: Convincing plant engineers to trust and act on AI-generated suggestions required explainable outputs and a lot of testing.



✅ Benefits Realized:



Faster diagnostics of anomalies in energy use



Empowered operators with predictive alerts via intuitive dashboards



Cost savings through actionable insights without heavy infrastructure investment



These outcomes are pushing us to explore even more embedded AI use cases within control systems and digital twins. I’d love to hear how others are balancing innovation and reliability in Gen AI projects!

On personal level, it has increasing efficiency and improving quality of documentation. It is great tool while conducting research online since it can provide summaries or point out more accurate subset of information.

At Organization level, it has been extremely efficient. Generative AI is used for wring DIR to perform user acceptance testing and producing outcomes which are easy to understand for stakeholders at all levels.

I agree. Some personal efficiency and time savings. But so far I have not had AI generate any content that I am not able to come up with myself. Just does it faster

I've been using GenAI to help with brainstorming, developing articles and communication templates, and do some project management excel worksheet building. I've been able to produce documents much faster and increase my efficiency.
That is a good example, Kyle. AI can also be used to capture MOM and highlight the action plans.

For example, I have tried to use ChatGPT for gap analysis between the role description, team member competency required for the project and virtual but close to real candidate profile with prepared resume. I have requested to elaborate plan with references on actual courses and trainings to eliminate gap identified by ChatGPT within indicated time limits. It was successful trial after some adjustments in prompts to get required references only.
