Are you using any tools that help improve quality or save time generating PowerPoint presentations?

Project professionals juggle many responsibilities, including stakeholder engagement, communications, and change management.

Devising and delivering effective presentations is certainly an important part of communicating over the course of a project. Have you found any tools that help with PowerPoint presentations that save time?

There are a number of presentation focused AI tools like decktopus and beautiful.ai, but you could also use ChatGPT or Copilot to help construct the outline for a presentation or to generate a useful image to use in your presentation.

I am doing the latter right now for a presentation I'm giving on AI for PMs in a couple of months time...

Thanks for sharing your experience, Kiron! I do enjoy operational efficiency to give more time to focus on the content of a PowerPoint presentation versus the format.

My favourite time saving device is to employ a project assistant with good ppt skills. It works wonders!

Also, if you have frequent reporting requirements, prepare a template/proforma using a standard structure that you like to present with, then just update the placeholders each time (ie. slide for cost summary, slide for Gantt etc, slide for deliverable RAG status). For the deliverable RAG status I keep a live tracker in excel that can easily be pasted into ppt, this also acts as an information radiator for anyone who has viewing permission to see the status of the project at any time.

This sounds like a huge time saver. I'll definitely look into this. Have you heard of any AI tools such as Beautiful AI? I heard it could turn text in a PowerPoint into graphics.

Microsoft has incorporated Copilot to all the 365 suite. It will help. Just has to ask to administrator if it is active or not.

I use copilot. You can ask copilot in PowerPoint to create slides for a specific topic or you can use a file as input for copilot to create it. Once the slides are generated by copilot you can adapt the style using PowerPoint designer feature.

I have used Prezi in the past - it is fancy and can do more than PPT, but it does take time to learn it well, to a point that it is actually efficient. In my previous organization the Head of the Department wanted us to use it, hence got the opportunity. Now I simply use PowerPoint, and to enhance it, create a lot of my diagrams using Visio and create my tables in Excel and if required tweak my screens using Paint.

Sometimes going back to basics just makes things easier. I do love using tools, however they have to be efficient with little ramp up time.

Absolutely, I realize I'm being redundant here, but every comment brings a new perspective. Ive had success with taking a new idea for a presentation and either using current documentation and uploading to ChatGPT and requesting a PowerPoint, adding keywords for a 10 minute presentation, create a handout of tips. Pretty cool. I will then request ChatGPT to suggestion a presentation for the topic and see if I missed any key points.

I just recently started using Canva to help create documents and content for my business and found that they have some fantastic tools and templates for creating aesthetically pleasing power points that you can quickly transform to match your company or "brand" image.  It also has some built in AI tools to help write or re-write content for the slides.
