Hi Danielle - great post.

I am interested in helping creating templates that expedite the project(s).

One of the key point in building the scheduling is understanding the scope and dependencies. Most of the times, projects tend to delay because cross-functional teams are not engaged proactively or learned about additional teams during the tail end of the projects.

Building a good schedule depends on doing enough preparation and kick-off with stakeholders. This is my go-to tip when I coach PMs. Start solid and end with less surprises.

AI is a boarder term. AI is using in project management from more than 30 years ago. The key is generative AI. There is no reason for not using a generative AI to perform scheduling management (the whole process).

One pain point I have encountered in scheduling revolves around coordinating inter-departmental activities that are closely interconnected. In capital projects, each department relies on vendors or subcontractors for inputs, making it challenging to plan accurately without prior data. Here, AI can play a crucial role in managing uncertainties by leveraging input data from similar projects to enhance scheduling accuracy.

I believe the major difficulties and obstacles involve managing schedules, recognizing potential conflicts, maximizing resource allocation, and ensuring consistent and efficient communication.
The project server has helped to mitigate some of these challenges, but the AI-powered schedule has significantly sped up the process and resolved many of these issues. As a result, it is now much quicker and more effective.

Furthermore, the increasing complexity of projects and the need for real-time adjustments have necessitated more dynamic and flexible scheduling approaches.

- Impact of AI on Project Scheduling:
AI has revolutionized project scheduling by offering advanced analytics, predictive capabilities, and optimization algorithms. AI-powered scheduling tools can analyze vast amounts of data to identify patterns, forecast project timelines, and optimize resource allocation. These tools can also incorporate probabilistic modeling to account for uncertainties and risks, enabling more accurate and robust schedules. In my own project scheduling work, I leverage AI to automate repetitive tasks, identify schedule conflicts, and generate alternative scenarios to optimize project plans.

- Current Pain Points and Challenges in Scheduling:
Despite the advancements in scheduling tools and methodologies, several challenges persist. One common pain point is the difficulty of accurately estimating task durations and resource requirements, especially in complex and uncertain environments. Additionally, coordinating dependencies between tasks and managing resource constraints remain challenging, particularly in multi-project environments. Furthermore, ensuring alignment between the project schedule and stakeholder expectations can be challenging, requiring effective communication and negotiation skills.

If anything is available to retrieve & consolidate the multiple entries of the Cost incurred , Time keyed in , then it can be compared with the baseline to predict /Forecast further

We are using generative AI from long time ago. Now we are adding the use of ChatGPT with our own fine tuning. Based on my experience when I saw the 3 layers model published by the PMI I found it too close to the reality. So, returning to your question, we need to understand that AI in general will give us responses with associated probability but the last decision is in human being hands. Human in the loop is the term used in AI.
