Is scheduling meeting a project manager role, or is it a separate role in your organizations?

Communication is essential for the success of project. Moreover, 90% of project manager's role is communication. For scheduling meetings at your organization, is it a project managers role or a separate role? Thanks

In my experience* it is usually the PM for meetings relating to project planning and other processes.
* Telecoms infrastructure, SW development, organization and process change - though I guess scale and org maturity might be more influential than industry domain.

Depends on the structure of the project governance model and the staffing of PM-oriented roles. If the company has project analysts and one is supporting the PM, the project analyst might be the one to schedule meetings based on guidance from the PM.

Things have changed from time ago. Consider that communication is 90% of project manager´s role in this time is not right, in my personal opinion. Each team must create and manage its own meetings. Some of them must be setted up by the project manager.

It depends on the size of the system or organization, as well as the size of the project. In small projects or those with a limited scope, the project manager typically participates in planning meetings because the team is small in size.

However, in the case of large-scale projects, there is usually a separate office or department dedicated to attending planning meetings.

Oraib, I completely agree with Kiron's reponse. I did work in both settings where on some projects I used to schedule meetings, while on others, I had an assistant that used to do so based on guidance from my side.

I agree with Kiron in principle, but there are other business situations that may also apply where another role is responsible

When I need to meet with multiple senior stakeholders, I ask for help from an executive assistant who is better positioned for getting a meeting on their calendars. For one reason, having the meeting notice sent from my sponsor's calendar gets better attention at the executive level than my own brand recognition.

In matrix organizations, sometimes functional managers think it is the PM's job to schedule and run meetings for their own sub-team, to manage their own plan. Then I may have to push back and exercise my power skills to establish where the line is drawn between weak and strong matrix. In most cases, they need to manage their own business. I need to manage the interface points between sub-teams.

The authority to call for a meeting of project team members is with the project manager. The action of inviting often is delegated to an assistant or project office.



Many meetings in a project are regular.

It is very easy to get tied up in scheduling issues when trying to get a group together. This can easily tie up the time of a project manager and interfere with performance of high value activities. I would advise using adminstrative support to arrange meetings. If you have an assistant, be sure they are named as a proxy in your calendaring system, so that it is clear the meeting request is coming from you as the project manager. Delegate the work, but not the authority, and beware non-value add tasks.
