How are you using AI in your PM workflows?
I use AI tools like ChatGPT for drafting project documentation, summarizing meeting notes, and generating project timelines. AI-powered analytics also help with risk assessment and progress tracking.
What kinds of workflows are you designing that save you significant amounts of time and effort and boost the quality of your work?
Automated workflows include using AI for task prioritization, email responses, and creating status updates. These workflows significantly reduce manual effort and improve accuracy, ensuring consistency and efficiency.
What tools do you string together to connect the dots to move from single, one-time interactions with tools like ChatGPT to full-blown, replicable workflows that allow you to spend your precious time elsewhere?
I combine tools like ChatGPT, Trello (for task management), and Zapier to automate repetitive tasks. For example, AI drafts a project update, which is then automatically shared with stakeholders via integrated workflows in collaboration platforms like Slack or Teams.
If you’re not yet leveraging AI in your work, what’s stopping you from doing so?
N/A (I’m already leveraging AI!) However, common barriers might include a lack of familiarity with AI tools or concerns about data security and integration with existing systems.

Hello Sarah,
I wanted to share my recent experience with AI tools and their potential impact on our work. Previously, I had only heard about AI and prompt engineering, and I didn’t see the relevance for my role as a Learning and Development specialist. However, I recently decided to dive deeper and learn how these tools work—and the results have been eye-opening.
To my surprise, I discovered that AI is incredibly valuable in enhancing our projects and day-to-day tasks. Ignoring this technology and its applications could have serious implications for career growth and development in today’s fast-paced world. Recognizing its importance, I’ve started taking courses on AI and actively applying what I learn to various aspects of my work and communication.

Custom SOP Creation: Generative AI supports me in drafting and fine-tuning SOPs, ensuring clarity and alignment across teams.
Decision Support: AI simulations offer scenario-based outcomes, allowing me to make well-informed decisions with confidence.

My focus on designing workflows that are scalable, replicable, and quality-driven:
Automated Task Allocation: Implementing tools that automatically assign tasks based on team expertise and availability, reducing manual effort.
Document Management Pipelines: Automating processes to draft, review, and finalize project documents, minimizing repetitive edits and errors.
Client Communication Protocols: Creating standardized templates and AI-driven response systems for faster and consistent client interactions.
Feedback Loops: Developing automated systems to gather, analyze, and act on feedback, ensuring continuous improvement in deliverables.
3. Tools I string together to create full-blown, replicable workflows?
I integrate a stack of interconnected tools to ensure seamless execution:
Generative AI Tools (like ChatGPT): For brainstorming, drafting, and refining ideas or documents.
Automation Platforms (Zapier, Make): To connect tools like email, spreadsheets, and project management software, automating repetitive tasks.
Project Management Tools (ClickUp, Jira): For task tracking, timelines, and collaborative planning.
Data Visualization Tools (Smartsheets): For analyzing and presenting project performance metrics.
Cloud Platforms (Microsoft 365): To enable easy sharing and collaboration on live documents.
These interconnected workflows allow me to transition from one-off interactions with AI tools to fully functional systems that operate autonomously. This frees me to focus on high-value activities like stakeholder engagement, strategic planning, and quality assurance.

This is a multidimensional and complex problem, and in personal practice, intelligent AI plays a very important role.
Firstly, AI has provided us with excellent guidance in solving project management problems. For example, AI can create project management frameworks based on requirements, involving not only waterfall and agility.
Furthermore, as a best practice in technology, AI is particularly prominent in risk management. In my career, risk management has been a major management topic. Generally speaking, I would establish a risk control model to handle it, which is not limited to basic risk models.
