Having access to Chatgpt as an assistant for me to paraphrase my emails, status report updates, or even Mitigation strategies for the risks identified saves some time, for sure. How ever I have noticed there is a real need for a thorough review of Chatgpt's responses. I am not talking about the lack of context, but simple calculation errors that I saw is frightening. I would not rely on Chatgpt for my estimates calculation or any arithmetic calculations, Not sure if anyone had similar issues.

I just finished the training from PMI called “Practical Application of Generative AI for Project Managers”. This course helps you strategically combine AI tools, understand prompting techniques, and implement automation into workflows. A very interesting course though not that simple to put in place the different strategies. Now I have so many questions - like, how do we realistically integrate these powerful tools into our daily work, especially considering the cost implications? The current landscape of AI tools can be expensive, both for individuals and companies. While AI offers incredible potential for efficiency and innovation, it's crucial to find ways to make it accessible and affordable. The cost of these tools can be a barrier for individuals and smaller companies. I'm wondering if we'll ever have one all-encompassing AI tool that's affordable and can handle all our professional tasks, making AI accessible to everyone.What are your thoughts on the future of AI in project management, particularly in terms of cost and accessibility? Are there ways we can optimize our use of existing tools to reduce costs? How can companies and individuals navigate the current landscape of AI tools to find solutions that fit their budget? I'd love to hear from other professionals in the field about their experiences and challenges.

I’m leveraging Generative AI in several ways to enhance my project management workflows. It’s been a game-changer for automating repetitive tasks like drafting project charters, creating reports, and summarizing meeting notes. I also use AI tools for risk assessment by analyzing historical project data to predict potential issues and recommend mitigation strategies. I use CoPilot to draft professional emails, summarizing meeting notes directly from Zoom calls, and preparing stakeholder reports. For example, CoPilot generates meeting summaries from transcriptions, ensuring that all follow up actions are captured and communicated effectively and in a timely manner. After using AI, it reduced lot of time for me to capture Meeting minutes and follow up action items.

Hi Sarah,

I use ChatGPT all the time. It speed things up a lot, whether it assists me in writing a project report, email communication with clients, or even mapping out some knowledge areas (especially risk management and EVM).

But I had a problem using ChatGPT for a long time. The problem was that I was only able to superficially understand it. And by the looks of it, the PMI has the same problem: I read the 'AI Essentials for Project Professionals' that came out recently. While it states in the title that it is 'essential', I think this is where the problem is.

Let me explain this to you with an analogy. When the PC became popular in the 90s, everyone could use it and didn't need to use a type writer anymore. But you needed to get a better understanding on how a PC works if you really wanted to use it for a specific purpose (e.g., I used to be a research scientist, and used Excel in a different way than, say, a Financial Controller).

And this is what I'm currently seeing with generative AI: people all over the world, across disciplines are using it. But are they really understanding what is happening, and are they seeing where the world-changing opportunities lie by the way most people are currently using it?
In essence, using something does to equal to understanding it. And then how can you transform a field if you don't understand it?

After 2 years of being ignorant about this myself, I'm currently putting in the hours to get a deeper understanding by learning software engineering. My goal is to use AI, ML, and Automation tools, that are still unconventional to project management, and use them to make project management a far more effective discipline. And I have a few little projects on my own that look promising.

This is why I believe that a deeper understanding of AI among project managers has the potential to save billions, if not trillions, of dollars for companies around the world. And it doesn't stop by project managers using ChatGPT. In my view, if project managers don't adapt and use AI thoughtfully and with skill, they will become the type-writer people who didn't want to use Word or Excel back in the 90s.

I have completed all the courses that the PMI has offered on AI. After reviewing the content of the last course, I realized how essential it is for project managers to stay up to date with AI tools. By doing so, we can enhance our professional skills, optimize our workflows, and redirect the time saved from repetitive tasks—such as generating reports—toward guiding and collaborating with our teams to improve project outcomes and achieve goals more effectively.

I use ChatGPT and Google NotebookLM to enhance my workflow. ChatGPT significantly improves my efficiency by helping me draft professional emails and letters, saving me valuable time. It also assists in fine-tuning my decisions, ensuring they align with industry best practices. Additionally, NotebookLM is an excellent tool for comparing various reports and documents, making my analysis more comprehensive and effective.

Currently, through the DeepSeek AI tool, three efficiency improvement scenarios have been achieved: Requirements analysis: Training DeepSeek to extract functional points from customer interview records (prompt words such as "classify by KANO model"), generating a structured list, the efficiency has been greatly improved and the accuracy rate is very high. Flowchart design: Converting meeting recordings into text, outputting the logical framework through DeepSeek and then conducting manual optimization, saving a lot of time. In the process of drawing prototype diagrams, generating interaction instructions automatically through AI can reduce 30% of repetitive annotations. I am also currently learning to complete work more efficiently through AI. /font
