What are the main project management tasks that could be automated with AI?

Project management involves a combination of strategic planning, team coordination, decision making and problem solving. With the evolution of Artificial Intelligence, many operational and repetitive tasks can be automated, allowing Project Managers to focus on more strategic and human aspects.

AI is transforming project management by automating repetitive tasks, but the human touch remains vital. Strategic thinking, decision-making, and team coordination can’t be replaced. The real value lies in using AI to enhance, not replace, a PM’s role.

Memory: The brain's ability to store, retain and retrieve information. It allows us to remember past experiences, knowledge and skills.
Intelligence: The ability to understand, reason, solve problems, adapt to the environment and learn from experience.

I think you're asking the wrong question, or at least asking it the wrong way. AI, by itself, doesn't automate anything. To quote ChatGPT,

1. AI is an assistant, not an executor.
AI can analyze data, generate insights, or recommend actions, but it won't do anything unless it's paired with automation tools like Zapier, Power Automate, or custom scripts.

2. Automation Requires Integration
To truly automate a project management task, you need a system that:
- Identifies a trigger (e.g., a task status change, a deadline approaching)
- Uses AI to process the data (e.g., generate a report, summarize updates)
- Executes an action (e.g., update a project board, send a notification)

3. AI's Role in Project Management Automation
While AI won't automate tasks by itself, it can improve automation in key areas:
- Task prioritization: AI can analyze past project data and suggest which tasks need attention.
- Status reporting: AI can summarize project progress based on team updates.
- Risk identification: AI can flag potential project risks based on patterns.
- Resource allocation: AI can recommend workload distribution based on team performance.
- Automated documentation: AI can generate meeting notes and action items.

4. Bridging the Gap: AI + Automation Tools
- AI models (like ChatGPT) process information and generate output.
- Automation tools (Zapier, Power Automate, scripts) take that output and perform actions.
- Together, they create true automation.

AI isn't the automation; it's the intelligence behind the automation when properly connected to workflows.

I think a better question might be "What project management tasks/processes are you automating, and what tools are you pairing with AI to perform the automation?" This need hasn't surfaced for me, yet, but I try to stay up to date on what's possible and any related costs (for example, Power Automate is included in our MS 365 subscription, while Zapier would be an additional cost). I'm considering learning more about using Power Automate with ChatGPT; I just need to make the time.

The AI usage in Project Management, what I leverage:



1. I use co-pilot to summarize the various Agile ceremonies like Retrospective and tracking the actions from one Sprint to another Sprint.
2. To Create Test Cases, User Stories, in tools like ADO, JIRA etc.
