We are upgrading the governance and the framework of IT division of an Engineering firm. There is no PMO. The current governance and framework was based on PMBOK 4 (I am told) .  I will have a few questions on these topics. I shall keep asking here in this forum. Here are some questions to start with  1.    As far as the governance concerned, is there any change that is required based on PMBOK 6? I am under the impression that there is no specific update as far as Governanace is concerned. I am sure The Governance Model and structure are independent of PMBOK version (there may be some minor changes required in say Risk Management, Change Management etc. in the framework document). Am I right? 2.    As a part of IT governance, do you have Governance framework and Guidelines as seperate entities or combined? In addition, if I am not wrong each project will have an independent project Governance plan.am I right?   Thanks -Ulhas

Hi Ulhas,

I don't have a governance framework that I can share for question 2. However, regarding question 1, I remember a few key differences between PMBOK 4 and PMBOK 6 that I believe it can be relevant to your governance and framework upgrade:

- Knowledge areas, I'm not sure if it was from 4 to 5 or PMBOOK6 but the knowledge areas and the process changed from 47 to 49.
- The PMBOOK 6 is the one that introduced agile.

I don't believe there is specific governance structures changes, as you mentioned, however the potential changes and highlights in pmbook 6 about agile and the need of strategic business alignment maybe supports a review of your actual governance framework.

Hi Ulhas, - I was curious if my answer was accurated, and guess what? I used PMI infinity to dig deeper into the changes between 4th and 6th edition. Here the detailed answer provided by PMI infinity:

The PMBOK Guide has evolved from the 4th to the 6th edition, bringing several changes that could impact governance frameworks. Here are some key considerations for updating governance based on PMBOK 6:

Expanded Knowledge Areas: PMBOK 6 introduces new knowledge areas and expands on existing ones, such as the addition of "Project Stakeholder Management." This requires a more comprehensive approach to stakeholder engagement and communication within the governance framework.

Agile and Hybrid Approaches: PMBOK 6 includes guidance on agile and hybrid project management approaches. Governance frameworks should be flexible enough to accommodate these methodologies, ensuring that governance processes are adaptable to different project management styles.

Emphasis on Strategic and Business Knowledge: There is a stronger focus on aligning projects with organizational strategy and business value. Governance plans should ensure that projects are not only executed efficiently but also contribute to the strategic goals of the organization.

Enhanced Risk Management: PMBOK 6 places greater emphasis on risk management, including the identification, analysis, and response to risks. Governance frameworks should incorporate robust risk management processes to ensure that potential issues are proactively managed.

Performance and Communication Management: The governance management plan should include detailed subsidiary plans for performance and communication management, ensuring that all stakeholders are informed and that project performance is monitored and reported effectively.

In summary, updating the governance framework based on PMBOK 6 involves incorporating new knowledge areas, accommodating agile and hybrid approaches, aligning projects with strategic goals, enhancing risk management processes, and ensuring effective performance and communication management. These updates will help ensure that the governance framework remains relevant and effective in managing projects within the organization.

Hello Ulhas, as of March 11, 2025, you are correct that PMBOK 6's impact on governance is more about adjusting your IT framework than overhauling your governance model. Focus on aligning your framework with PMBOK 6/7's emphasis on agility, benefits realization, and tailoring to enhance risk and change management. Regarding IT governance, create a solid IT foundation, then tailor your approach to governance. Start by pinpointing strategic objectives and key KPIs, define how you will measure these metrics with clear rules, and build routines for collecting and reporting the data. Validate the reliability of your indicators through quality checks, establish baselines and targets, and ensure transparency, while considering regular feedback to refine the framework.

To advance your IT governance, identify what influences your indicators to implement targeted interventions like training, process improvements, or strategic accountability. Monitor the results of these changes by tracking the KPIs, then adjust as necessary. This cycle of continuous improvement is key to aligning behaviors with governance goals. In addition, remember that separate or combined governance frameworks and guidelines depend on your organization's size; each project should have its own governance plan, tailored to the organization's overarching approach.

Pl do share the links related to various processes. We would like to have latest templates (preferably royalty free), If somebody can share the Agile specific templates, then it will be bonus,
Thanks

Ulhas,
there is a practice guide by PMI on governance

https://www.pmi.org/standards/governance

And there is a lot of literature on project governance in IT, also from non-PMI sources, ITIL is an example. Some links:
