Tips for introducing GenAI into a small PMO?

I'm interested in hearing how others have successfully introduced generative AI into smaller PMO environments. For those who have started using AI tools (like ChatGPT or custom GPTs) within a PMO, what were some of the first use cases you targeted to show early value without overwhelming the team? If you're in the early stages like we are, what areas do you think offer the best opportunities for small, manageable wins?

Some high-level areas of growth have been identified, like Change Management and Templates, but I would love to hear about initial wins that would help encourage adoption and gain momentum.

I already have a bank of templates, so my focus with GenAI has been on helping my stakeholders by providing (and often running) prompts to get them a head start on identifying potential risks & mitigations, assumptions, use cases, user stories, scope statements, requirements, etc. Since we're so small (if we had a PMO it would be me), I've started working on training for "just enough" project management including a simple prompt writing guide, prompt quality checklist, and examples for use at different stages of the project that include instructions on what to do to refine the GenAI results and bring them in line with the context of our organization, eliminating answers that don't apply to us and filling in any gaps.

Thanks for that insight! I am using most templates from the PPM tool, so I was hoping not to default to that area. I like the approach of training for "just enough" project management, are you sharing that in a document or other format?

Project Documentation Assistance: what it looks like: AI can assist in writing or updating project documentation, including business cases, project charters, risk management plans, and lessons learned. AI tools can help with the first draft or generate templates based on inputs.



Benefit, In smaller PMOs where team resources are limited, this is a time-saver and reduces human error in documentation.



First step, while in use of ChatGTP as AI tool to generate initial drafts or summarizations of project documents, which can then be reviewed by the PMO team.

GenAI could be use for multiple proposes, including it GenAI free of cost tools. Business Analyst, Porfolio/Program/Project Managers can be "replaced" by GenAI in terms of the deliverables and the time they could spend investigating tons of data to get information to define the solution end to end. And that is totally independent of the approach you use to create the solution. The key thing is to understand that GenAi is highly depending on the prompts you use (mainly the format) and people who use it must do thrust verification on the results includint it the responsable AI component.

For me, a good way to start is by taking the free courses from PMI. They have good basic information.



After that, I think it's very useful to have regular sessions where we share our own use cases from our projects. By doing this, we can slowly build up our knowledge and improve together. What do others think about this approach?

I think that the reporting could be a good areas, with this meant not only the reports as such but also the minutes. I agree with Francisco that it is a great start to watch at the PMI courses. They have practical use cases, explained in terms of tools and all the steps to take in short videos, divided by specific use cases.

I would redefine the approach by investigating which areas your team is struggling or taking more time to complete and engage GenAI solution for that area. By doing this, you are addressing the bottleneck instead of force fitting an industry solution which may or may not work for you.

Various applications of AI can be used for a small PMO:

* Generation of templates, reports, and documentation

* Team collaboration panels

* Meeting assistant, generating notes and transcriptions

* Analysis of small data segments and generating information dashboards

* Risk identification, analysis, and mitigation

* Change management assistance

* Resource allocation and schedule optimization
