I must admit that I haven't yet formally integrated AI tools like management co-pilots, predictive analytics, or report automation into my day-to-day work as a project manager. My current approach relies on traditional methods and human-driven analysis. However, I'm actively looking forward to gaining formal capacitation in this area, as I believe these tools hold immense promise for streamlining decisions by providing data-driven insights and significantly reducing time spent on operational tasks like progress tracking and report generation.

Hello Fabian,
I have answered the questions you posed to the best of my ability below:
Are you already using AI tools (such as management co-pilots, predictive analytics or report automation)? Yes, I use ChatGPT on a regular basis. I used it in my 90 day quest to pass the CAPM exam. I refined the prompts over time and we created a time schedule complete with practice tests, examples, and scenarios. Chat also provided clarity when there were terms that I did not understand.
💬 What real impact have they had on your day-to-day life as a project manager or on the functioning of your PMO? Using AI tools in my day to day to assist with scheduling, and running scenarios prior to me actioning to look at possible outcomes prior to using resources has been very helpful.
Did they streamline your decisions? Doing this assisted me in streamlining my resources as i didn't always have a full staff at times or full resources to complete the scheduled list of tasks.
Did they reduce time on operational tasks? Many of my tasks were able to have time reduction or to be combined.
Did you face new ethical, quality or confidence in results challenges? No, I did not face any ethical challenges, my confidence increased as my knowledge and repetitive use of tasks became second nature. The quality of the tasks improved. 💡 Saving Changes...

Fabian Crosa The most transformative AI impact I’ve seen in project management is emerging from Agentic AI - systems that act proactively within clear governance boundaries.
Some capabilities are already available today, such as:
- Automating reports and dashboards;
- Summarizing meetings and extracting action items;
- Detecting risks from project data and flagging them early.
Other applications are moving from pilot stage to broader adoption over the next few years, including:
- Dynamic schedule adjustments based on resource changes;
- Automatic triggering of dependent tasks when prerequisites are met;
- Intelligent resource allocation across competing priorities.
For a real-world example, consider Workday's Illuminate AI Agents, which autonomously manage planning tasks like onboarding, budgeting, and forecasting.
These agents operate under human oversight, integrating across HR, finance, and project planning systems to streamline workflows while preserving governance.superagi.com+15techradar.com+15gsdcouncil.org+15
The real value comes when these functions are embedded in a decision-making framework (AI-enabled, human-verified decisions), ensuring speed never bypasses trust, ethics, or critical thinking.
In my view, the next step for PMOs isn’t just using AI - it’s designing governance models where AI acts as a strategic partner, empowering teams while keeping human oversight at the core.
How are others pacing their AI adoption between what’s possible now and what’s on the near horizon?
From my experience, the biggest impact of AI adoption has been operational efficiency. Automating repetitive tasks like scheduling and progress reporting frees up valuable time. Yet, it’s important to stay cautious about data privacy and to ensure the AI’s recommendations align with project values and objectives.

Yes, I’ve been integrating AI tools in my day-to-day project and operations management, particularly for report automation, predictive analytics, and scenario modeling. In my experience:
- Operational efficiency: AI helps reduce manual tracking and reporting tasks, freeing up time to focus on high-value strategic decisions, team alignment, and stakeholder engagement.
- Decision support: Predictive analytics provides early visibility into potential bottlenecks or resource conflicts, allowing proactive adjustments before issues escalate.
-Process improvement: AI-assisted insights have helped optimize supply chain planning, resource allocation, and production scheduling across complex operational environments.
-Ethics and oversight: I ensure that AI recommendations are always validated with human judgment, especially when high-stakes decisions or untracked critical tasks are involved. This maintains fairness, transparency, and alignment with organizational values.
Overall, AI has amplified both speed and accuracy, but its impact is maximized when combined with human contextual understanding and operational expertise.
