Feedback on format of mentoring programs

Hello, my name is Emily, and I’m a volunteer with the PMI Adelaide chapter. We are looking to re-design the format of one of our mentoring program. We’d like to know how other chapters have their mentoring programs formatted. Would you be so kind as to share more about the format of your chapters’ program? If I would like to contact a specific chapter for gathering additional information and asking questions, how would I go about doing so? Thank you in advance!

Emily, I’ve been a long-time volunteer with the PMI Vancouver West Coast Chapter mentorship program, and I’d be happy to share how their mentoring program is structured:

1) Program Schedule: The program runs twice a year, each cycle lasting six months, and participants (mentees) pay a nominal fee to join. Mentors and Mentees can apply for this opportunity online.

2) Profile Exchange: Mentors and mentees are asked to review each other’s profiles in advance to help with the matching process.

3) Initial Meet-and-Greet: An in-person event is held where all mentors and mentees have a chance to meet and interact. This allows mentees to speak with multiple mentors and vice versa.

4) Preference Submission: After the event, both mentors and mentees submit their top three preferred matches.

5) Matching Process: The chapter reviews the preferences and finalizes the mentor-mentee pairings.

6) Ongoing Engagement: During the program, mentees are expected to submit monthly progress reports to the chapter to keep track of their development and engagement.

I know that most of the Toronto-area chapters have mentoring programs in place so I would suggest looking at their organization structures and reaching out to the Director of Professional Development or (if they have one) head of the mentoring program.

If I recall correctly, many many years ago, PMI had provided some guidance through the region mentors to chapters which were interested in establishing mentoring programs so you may also want to reach out to your region liaison.

It's a 1-1 relationship. Each mentee is paired with 1 mentor to be mindful of the time commitment because most are working professionals. There is the odd case where a mentor can accept to take two mentees.

Success is measured overtime against the mentees achievement of goals over the course of six months but long term results show well beyond the 6 months period. I normally stay in touch with my mentees and they update me on their progress.

I know and participate in active 2025 mentoring programs from Germany, South Africa, Romania, and Poland chapters, which are all described publicly.
The key common features I see
- dedicated volunteer team
- mentor program marketing via website, social media
- focus on an easy application process for both mentors and mentees
- clear guidelines (e.g. mentee drives proigress)
- matching process 1:1 mentor/mentee, online and f2f mentoring
- while mentor/mentee relationship, a mentor could have multiple mentees (I had three from South Africa 2024, one of them still active)
- keep a heartbeat: offer quarterly calls, Q&A

So, yes, I commend you for your idea!
