Let’s talk about another common trap in project work:
That packing calendars with meetings will keep everyone aligned.

🎯 The truth?
More meetings don’t equal better communication.

Here’s why:
👉 Meetings without purpose turn into noise
👉 Real work gets delayed by constant check-ins
👉 People tune out or multitask
👉 Clarity often comes from less, not more

✅ Effective PMs use meetings intentionally
✅ They balance synchronous check-ins with asynchronous updates
✅ They focus on outcomes, not airtime

It’s not about meeting more.
It’s about communicating better.

Thanks Kimberly for your great question!

For me, it’s really about quality over quantity. Not every discussion needs a meeting — sometimes a quick follow-up or a shared update is enough. But the meetings that truly work are purpose-driven: ones focused on brainstorming, problem-solving, or making key decisions.

A few things that help make them efficient: warm up your participants by giving a heads-up or hint beforehand if you need their input. For larger audience meetings, clearly state the purpose at the start and include it in the invitation — this helps everyone come prepared and keeps the discussion productive. When done right, people stay engaged, communication drives action, and you avoid unnecessary calls.

There are a lot of myths around project management.
Early in my career, I thought more meetings meant more control. In reality, it often blocks creativity and slows momentum. Purposeful communication is what drives progress.

Absolutely! I had the same realization early in my career. More meetings don’t equal more control — they can actually slow things down and stifle creativity. Focusing on purpose-driven communication and using meetings strategically for decision-making or brainstorming makes a world of difference.
