With the upsurge of economic growth and the new policy on Tourism Industry, the Ministry of Tourism under the Government of India has taken up some new projects in the foot hills of the mountain Himalaya. One of the projects is under the jurisdiction of Nainital District, India. This includes construction of several new Tourist Lodges, Reception Center, etc. including parking facilities for vehicles.
Shalini is the Project Manager for this project. She along with her Contract Manager arranged a meeting with all prospective Bidders on the 25th of January, 2014. As per the Tender Notice published in the National Daily, the last date for submission of the bid was exactly after 20 days from this meeting i.e. on the 15th of February, 2014. The sole purpose of this meeting was to ensure that all the prospective Bidders have a clear and common understanding of the procurement requirements and that no bidders receive any sort of preferential treatment.

I'm not clear there is a PMI perspective on what to name a meeting of this sort, but from a practical perspective, this is a bidder conference. None of the other options accurately describe the event. Saving Changes...

Option A) is wrong, because such meeting does not exist.
Option B) is wrong, because it is more a political term, ie the round table conferences of britain and India in the nineteenthirties or the eastgerman roundtable in the late nineteeneighties. (or the roundtable of King ARthur ;-) )
Option D) is wrong because the purpose of the meeting has nothing to do with public relations.
Option C) is correct, since the purpose of the meeting is to ensure that the bidders have a clear and common understanding.
Option C) is the correct answer.

Other terms are either made-up ones or to distract your attention in a real test situation.

"Bidder conferences (sometimes called contractor conferences , vendor conferences , and pre - bid conferences) are meetings between the buyer and all prospective sellers prior to submittal of a bid or proposal. They are used to ensure that all prospective sellers have a clear and common understanding of the procurement requirements and that no bidders receive preferential treatment. To be fair , buyers should take great care to ensure that all prospective sellers hear every question from any individual prospective seller and very answer from the buyer. Typically fairness is addressed by techniques such as collecting questions from bidders or arranging field visits in advance of the bidder conference.
